Travel Management Services - Travel Discounts

Airline Discounts

Below are the airline discounts established for University business travelers. As we continue to collect additional travel data, we will work to maintain or improve upon these discounts and secure additional airline discounts as well. These fares are unpublished and only available through one of UK’s designated travel vendors:  AAA Corporate Travel, Concur and Avant Travel.

  • Delta Air Lines: Point-of-Purchase Discount of 2%-8% off several domestic airfares and 10%-15% off several international airfares.
  • United Airlines: Point-of-Purchase 2% Discount on all airfares for tickets originating in the U.S.

Rental Car Discounts

UK has negotiated rental agreements with Enterprise, National, Avis and Hertz,  and these discounted rates are available through our designated travel vendors - AAA Corporate Travel (323-5354), Avant Travel (233-0000) and Concur .    Rental cars are not prepaid - the renter must have a credit card in his or her name to present to the rental car company when the car is picked up.  Rental car companies do not allow credit card authorizations - meaning they will not accept a UK procurement in one name, to pay for the rental car in another's name. 

Regarding insurance for car rentals:  For cars rented for short periods of time (30 days or less), liability and physical damage coverage is included in the University’s Fleet Insurance Policy. Individuals renting a vehicle from a rental agency while away from the University on official business should not purchase a collision damage waiver (CDW) for physical damage, nor should they take additional insurance for casualty/liability coverage. Hired car physical damage coverage under the University’s Fleet Insurance Policy includes Actual Cash Value Comprehensive and $500 Deductible Collision coverage for short-term rental vehicles. The Risk Management Office must be notified if a department intends to rent/lease a vehicle for long-term rentals (31 days or more). The cost of any damage claim within the $500 deductible is the responsibility of the department. Since liability and physical damage coverage on rented or hired vehicles is now included under the University’s Fleet Insurance Policy, reimbursement for any insurance purchased in conjunction with domestic rental vehicles is not authorized .

Exception for international car rentals:   Accepting the collision damage waiver (CDW) for physical damage to the vehicle is allowable and reimbursable. Many international car rental incidents are harder to resolve than domestic incidents, and taking the additional insurance can help resolve such issues with less difficulty.  Also, many foreign countries require travelers to take the additional insurance in order to be able to rent a car.

Permit Price Changes 2022/2023

From the 1st August 2021, some of the Permits to Park on campus prices will be increased. The permits enable you to park on campus within a marked bay Monday to Friday 8am to 5pm.

The annual increase of the University of Kent Permits to Park on campus are essential to maintain contributions towards the cost of parking operations and enable us to work towards the objectives set out in the University Travel Plan .

The new permit prices are all displayed on our Transport web pages and the web links for these pages are listed below. In comparison to other universities, the University of Kent’s parking permits remain at a lower cost and we continue to offer free parking permits for Government Blue Badge holders and for those that travel by motorcycle.

There are various different permits available and we recommend that you consider the most appropriate permit for you. For instance, you may wish to reapply for your usual permit; or if you are hybrid working then you may wish to consider applying for a daily permit.

WHAT NO CAR! Do you need a car whilst at University?

W ill you use a car?

Consider why you think you need a car and how often those trips are required whilst you are living in Kent. You may be thinking that you will use a car for grocery shopping once a week; but have you considered that there are shops all around the local area (including on campus) or you could share the cost of a food delivery with your household? Will you really need to travel home during term time, or maybe to a weekend job? Consider if this job will continue whilst you are studying and living the student experience and establish how much your earnings are or what that job will do to enhance your CV. Does it cover the cost of owning a car and your expenses, support your studies or improve your CV?

Tip – to make a true assessment consider everything, even the likelihood that you may become a designated driver that your friends want you to drive to further away destinations for nights out because you have a car. Don’t forget your road safety and if you have been out drinking the night before you are unlikely to be able to drive the following morning to your 9am lecture as you may still have alcohol in your body system and be over the illegal driving limit!

H ow will I travel without a car?

Consider what alternative options you have to using the car to travel. There are many other options available to you and when considering these options look at the travel discounts you are entitled to whilst living in Kent as a student. We are fortunate in Kent to have direct access to and from London where you can link easily to travel all over the UK. We also have highspeed trains , as well as Eurostar and ferries to France nearby. We have excellent public transport , walking and cycling routes around Canterbury & Medway to shops, beaches, culture, restaurants, countryside and nightlife.

A ccess to parking

Research where you can park your vehicle. Are you entitled to park in these locations, will you be eligible for the permit to park in that area? There are costs to parking a vehicle on some local streets, as well as within car parks. Now calculate how much that parking will cost you, against the frequency of how often you will be using car parks throughout the whole time you are living in Kent.

Tip – look at the local council webpages for Canterbury or Medway (depending on where you will be living) and see if you require a permit to park in your street or where you are eligible to park. Note that parking on campus may not be available to you if you live within the University’s local exclusion zone.

You may be thinking that travelling around by car will save you time. You could be right; but calculate the whole time you will be driving for at Kent. Ensure you calculate the time it takes to get in the car, drive to the car park and then walk to your destination for all the times you will be driving. Remember much of the term time is during the winter months when adverse weather occurs. You may need time to de-ice the car before you can drive (meaning you have to get up earlier). The frequency of bus services between the bus station and the university can be up to every 8 minutes. If you travel by bus or train, consider the time you gain as you wouldn’t have the stresses of being stuck in congestion and you could use the time to use the Wi-Fi available on board to do that last minute studying or catch up with your friends.

Tip – Canterbury City and Medway Towns can become congested with traffic during peak travel times. This means what may be a usual 20 minute journey could become a 40 minute journey; so you will need to get up earlier to give yourself extra time for travel and if you need to be on campus for 9am it may become a stressful journey! So do plan your journey for all eventualities and consider your health and wellbeing .

N eighbours and the local community

University of Kent prides itself with working and supporting our local communities. We are always disappointed to occasionally receive complaints about the number of cars that a household of students have or students who have inconsiderately parked such as blocking access to a drive or path. Do you have a driveway where you are living when at university? Will you be parking on the driveway? If yes will your housemates be parking on there too? Will you need your housemate to move their vehicle so you can get out in your car? You will need to all park on the driveway if this is what you have all told your insurance company, so consider if it is practically possible to park on the driveway and if you are parking on the road consider the local residents parking and don’t block access for others.

Tip – Remember when considering where to live off campus look at the public transport options to and from university, and other places you like to go on a regular basis, so you can choose a place to live where you don’t need to have a car.

We all have a responsibility to help reduce our carbon emissions and the University of Kent wants everyone to reduce their travel by single car occupancy and travel by sustainable or active travel where possible. This commitment is demonstrated in the success of our active Travel Plans . Since the plans introduction in 2006, students have supported the initiatives and have reduced travel by car to the university significantly. We are proud of our students and we would like you to help continue this commitment to protect our environment, improve air quality and reduce carbon emissions by not travelling by car, where it is possible to do so.

Tip – You may have a low or no emission vehicle, but your vehicle will contribute towards congestion if you drive during peak times of travel; and that in the bigger picture means that other vehicles stuck behind you will produce more emissions (remember not everyone can afford to buy a new electric vehicle, at the moment). So where you don’t need to drive then please support our Travel Plan and help us to help the environment and become more sustainable. If you do need a car then consider if you each need a car in your household – can you share a vehicle and take it in turns to be designated driver or share the costs?

You may be thinking that travelling around by car will be cheaper. Owning a car is not cheap, if you don’t already have a car think about how much buying a car will cost you. If you already own a car and know you are not going to need it during the time you are studying at Kent, then consider the money you would get towards your student experience if you were to sell it or SORN it . We recommend you calculate the cost of fuel for all the trips you will be doing. Do you think you will end up being the designated driver for your household and friends as they may not be bringing their car? Consider the cost of changing the insurance (you need to notify your insurance where you will be living), the MoT and tax. Don’t forget to include vehicle recovery costs (ensuring you have the most appropriate membership to ensure you can return home safely) and the cost of any ‘wear and tear’ repairs. Hopefully you won’t have repair costs; but if you are spending money on having a car whilst at university, it wouldn’t be cost efficient if you are then not able to afford to repair it if it goes wrong or replace a tyre if you puncture it.

Tip – Check out the hugely discounted bus passes you are entitled to as a Kent student; see how far and often you can travel on the buses. Plus, if you don’t have to bring a car then you don’t need to remember to insure, MoT, tax etc on time- and that is one less thing to worry about!

A ctive travel

Not having a car may mean you could consider incorporating walking or cycling within your commute to/from the university. This could formulate part of an exercise routine or just keep you active to stay healthy. The University supports this by providing showers, cycle parking and other initiatives that may help you.

Tip – If you are too far to walk or cycle direct from home, then why not plan your journey and do what others are doing and make active travel part of your journey to/from the train station or bus stop.

R ecreation and wellbeing

Not having a car means you may have more money to spend. It could also means you can socialise with others or spend time on the internet. There are plenty of places to visit in Canterbury and Medway during you time at Kent. Not having to drive is also good for your health and wellbeing as you don’t have the stress of being stuck in traffic or remembering to insure your car or even having to always be your friends designated driver!

Tip – If you are unsure if you need a car then try leaving your car at home for a few months. Maybe family or friends can be insured to drive it whilst you are at university or consider saving money and SORN the vehicle. If you give this a go but you are finding it difficult to travel around then you still have your car, at least you can say you tried! However, if you find you don’t need the car then you can consider your options if to keep the car or sell the car.

The University of Kent continues to participate in the electric scooter trial. You can use the electric scooters as an easy way to get around without the need for car travel, therefore reducing your carbon footprint and easing congestion.

The e-scooters included in this trial are all supplied for a leading electric scooter sharing company, Bird. All of the scooters are GPS connected to a controlled set route and if the scooter deviates from this route they will slow down and stop. In line with the Government guidelines on e-scooter trails , during this trial the scooters will use the same road space as bicycles and will not be allowed on the pavement or outside of the trail area.

In addition, the speed is set remotely depending on where the scooter is located. In busier areas the speed is at walking pace, and in cycle lanes the scooter goes up to 15mph.

Please note: The rules for private e-scooters have not changed. Only the trial schemes can be used on the highway. If you use an e-scooter illegally you could face a fine, get penalty points on your license or the e-scooter could be impounded.

Booking FAQs

How do i book my travel  .

You may book travel through the Christopherson Business Travel  AirPortal web link  or by contacting CBT directly for agent-assisted help and customization (fees may apply). Before using the portal, you must setup your profile. 

How do I setup my travel and expense profile?   

Employees are auto-enrolled into the system through a weekly feed updated by IT.  However, before booking travel, please remember to review and update your profile with important information, including any TSA pre-check numbers or frequent flier numbers. 

The information is the system is incorrect, who do I contact? 

The information is a reflection of Banner data. You may need to reach out to HR for Banner data revisions or the Christopherson Business Travel Online Support, Monday – Friday between 9 a.m. and 7 p.m. ET either by phone: 888-535-0179  or email:  [email protected]  

What training and guides are available to me?  

Guides and video demonstrations for the online booking tool are available on this website. However, if you need virtual guidance, please contact the Christopherson Business Travel Online Support at 888-535-0179 for additional help. 

My department has multiple travel contracts with other vendors.  Does this contract void those? 

No.  Current standing contracts will remain. Additionally, Procurement is willing to help source any other group travel needs you might have or require other specializations.   

Can I use my personal credit card to book my business-related travel? 

Please refer to the  University Travel Manual  for the acceptable payment methods by travel expense type. 

I book complex trips for various people; can I speak with an agent directly to assist in my booking? 

Absolutely and Encouraged! An agency-assisted fee will apply; however, you may speak to a live representative at:

What are some considerations for booking international trips? 

If you are traveling internationally, you are required to notify the Office of Compliance and Risk Management every time you travel out of the continental United States and Canada for business travel. Please review the  University Travel Manual  for additional information. 

Can student employees book through Christopherson Business Travel? 

All eligible employees should book using CBT. Understand some hotels have minimum age requirements, as do vehicle rental companies. Additionally, students are not permitted to drive a university vehicle unless specific authorization is granted by the department head and  verification of valid driver's license  is conducted. Graduate assistants are considered eligible.   

Do I need to use Christopherson’s tools for in-state travel?  

Please use Christopherson when booking complete trips, overnight hotel only, one-day airfare, or non-contracted travel. The Kent State Hotel in downtown Kent may also be booked through Christopherson, as our contracted university rates have been established within the program. 

What fees should I expect when I book travel?   

Kent State University utilizes the IUC-PG contract as mandated by the Governor through the Efficiency and Effectiveness Task Force. Under this agreement, fees when booking should be expected as such: 

What happens if travel must be cancelled, either by the employee, department, or event?   

The traveler can cancel their trip themselves if they booked it in Concur Travel.  If they booked it with a CBT Travel Advisor, they would just call and ask for it to be cancelled. All cancellations should go through Concur travel or CBT. Do not call the airlines directly as CBT will not be able to capture that information in their system since they did not do the cancellation. When a ticket is cancelled it will turn into an unused ticket and will be managed in AirBank. If the ticket happens to be refundable, CBT will make sure it gets refunded.    

I booked travel, but need to cancel.  It’s been less than 24 hours,hours; can I get my associated CBT fees credited? 

Fees are not waived for cancellations within 24 hours. However, many airlines offer no fees to change a reservation.   

I need help making a reservation, what is the contact information for Christopherson?

What is the emergency after-hours contact information for Christopherson?

Will booking airfare through Christopherson cost more than other travel booking websites? 

Flights booked through CBT should cost the same or less than other third-party websites. Additionally, Kent State University has negotiated a discounted airfare rate with United and its participating international airlines.   

While exceptions may exist, these third party or “sale” deals usually involve conditions such as nonrefundable fares and hidden costs. Also, these third-party websites and airlines do not offer premium cancellation support or emergency assistance. The risk and liability remain with the traveler.   

Christopherson asks me to load a credit card for payment holds. I don’t want to use my personal credit card for travel purposes.  What are my options? 

For airfare, you should consider your department’s purchasing card with support from the cardholder. Same with hotel reservations. However, as hotels require credit cards upon check-in, call the hotel in advance of booking and request an authorization form. Many hotels will allow their customers to fax a form, signed by the pcard holder, authorizing the use of their pcard on stay, tax and parking transactions. Vehicle rentals are currently by expense reimbursement only; taxes will apply and are reimbursable. The use of the direct bill code will be limited, granted on a case-by-case basis and booked direct through the Enterprise website.   

How do I use our departmental purchasing card (p-card) to make a hotel reservation? 

Contact the desired hotel prior to booking through Christopherson Business Travel. Request an authorization form to use a department credit card. Note, sales tax should not be applied when using departmental purchasing card. Some hotels may not have the ability to use a pre-authorization form.  It’s always best to call ahead and explain your need. If the hotel allows pre-authorization to use a credit card in someone else’s name, be sure to call to confirm receipt of the form prior to travel.  

How can I book GUEST (university-paid for visitors, guests, speakers, students) travel?  

If you need to book GUESTS, contact  Christopherson  with your request.  

Guest bookings, or Non-profiled travelers, such as students, interviewees, guest speakers, recruits etc… Best Practice for Guest Travel bookings is to designate one person in the department or college for guest booking privileges. This permission is given in Concur Travel. By limiting the number of Kent employees able to book for a guest traveler you reduce your fraud risk. If they are not booking through the Concur website, the Kent State person could call a CBT Travel Advisor and state they were booking a guest traveler and give the name of the person that authorized it and we would send a copy of the itinerary to the person booking the trip and to the person that authorized it. The Kent sponsor will need to have the guest’s full legal name, date of birth, gender and any university required fields ready when booking the trip. 

How will booking, through CBT, benefit me and my department?  

There are many benefits when booking through Christopherson Business Travel:

  • Virtual Pay: Pre-authorized hotel payments means no sales tax exemption certificates!

  • CBT’s online booking tool securely manages your traveler profile including P-Card & personal credit card information, frequent flyer and loyalty program information, emergency contacts, travel history. Repeat trips are easier to rebook! 
  • Since they’re our contracted travel supplier, Procurement will not have to bid out your large, complex travel; instead, simply contact their Group Travel desk. 
  • Christopherson provides exclusive access to negotiated airline discounts with preferred carriers, negotiated hotel discounts, and discount rental car rates. These discounts are not available through other agencies, internet sites or airline websites. 
  • Airline tickets can be voided within 24 hours of purchase with no airline penalties. When flights are changed, cancelled or otherwise delayed, Christopherson provides 24/7 support, including an emergency after-hours desk.  

Will I be able to book personal travel through Christopherson Business Travel?  

Yes, Christopherson Business Travel the online booking tool is available for leisure travel and to coordinate additional travelers within the tool, if needed (such as when traveling with a partner/child or adding additional vacation days on to the beginning or end of the trip). However, you may not use the online tool. Rather, call them with your personal travel inquiry at 800-285-3603. You must note personal travel when booking. 

Can I combine business travel with personal travel? 

Yes; however, in accordance with leave policies. Any cost variance in expenses such as airfare, vehicle rental, and/or lodging must be clearly identified, acknowledged and approved by your director and well documented to validate the personal time does not add additional cost or use funds from the university. Christopherson’s agents can split any transactions between the business payment and personal credit card for the additional cost due to personal time (with the exception of certain airlines). 

Can I book car rental through the Christopherson Booking Tool? 

Yes. But for reimbursement purposes only. And, upon check-in, you must request the PAI added to the rental. The Direct Bill procedure has not changed.  

I book for multiple people in my department; can I still do that with Christopherson? 

Absolutely, just email  [email protected]  with the names and email addresses of those whose travel you will be managing and you will receive the Travel Arranger permission and role.
