All adventures include a Safari Adventure, Scavenger Hunt, Horseback Riding, and S’mores by the Campfire with the option of at least one of the following (depending on the package) Ziplining, White Water Rafting, Swimming with the Dolphins, Hiking, Kayaking, Snorkeling, or Island Adventure. Amenities are complimentary breakfast each morning and dinner (based on the number of nights staying), Unlimited pool, workout room, and conference room access. Dry cleaning and laundry facilities are available.

Do you have a great idea for an adventure travel expedition, or do you want to develop the tourism appeal for your area? It's generally not enough to simply talk about your ideas; if you want to get funding or management approval, you usually have to describe your vision in writing.

That means you have to write a proposal. But don't worry if you've never written a proposal before - it's not as hard as it might sound, after you understand that all business proposals have a definite structure to follow for success.

Although individual sections will vary in content and length depending on the complexity of your proposed project and the types of information you need to supply, every good proposal should follow a standard four-part sequence:

  • Introduction
  • Reader-focused section
  • Description of your proposal plan
  • A section that explains your credibility and ability to fulfill your promises

First of all, consider who you have to sell your ideas to. In other words, who will read and judge your proposal? It's crucial to always keep your readers in mind; all good proposals are focused on the recipients, not on the party submitting the proposal.

So, let's start with the introduction section. The very first item the recipient should see when opening a proposal package is a Cover Letter - this is essentially an introduction to your proposal, so simply state who you are, why you're submitting this proposal now, state what you would like the reader to do after considering your proposal, and provide all the contact information the reader needs to follow up with questions or approval of your request.

Now for the proposal itself: create a Title Page. Name your proposal something straightforward and logical, like “Proposal for New England Fall Foliage Tour,” “Plan to Create a Tourism Bureau for Whatford County,” or “Using Our Town's History to Attract Tourists.” If your proposal is short, that may be all you need for an introduction section. But if your project is more complex, you may need to come back later and add a Table of Contents and an Executive Summary, which is basically a list of the most important points you make within your proposal.

Now for the reader-focused section. Consider the party to whom you are submitting this proposal - is this a town council? A potential business partner? A prospective client? The management team at a tour company? What do the readers want to know? What will their concerns be? Do they have a list of requirements to be met? In this section, you need to prove that you understand who you're pitching to and what their needs and desires are. Most important of all, you must explain how your proposal will benefit that party.

In this section, you will include pages like Needs and Benefits, and if you're answering a stated need or responding to an RFP, you might also need pages like Requirements, Budget, Schedule, Deadlines, and so forth. Keep in mind that in this section you are describing the needs of and the benefits to your potential partners, management, or investors, not your own goals and desires. A winning proposal should remain focused on the reader, not on the party proposing the project. If you are selling personal travel services to clients you can include topics such as What you Can Expect or It's All About You.

After this reader-focused section comes the section where you describe your proposal in detail and explain what it will cost. This will most likely be the longest section in your proposal, because it should contain all the topic pages you need to explain your ideas. Be sure to include all the details your reader will want to know.

Depending on your proposed project, you might have pages describing Services Offered, Products, Costs, Timeline, Venues, Facilities, Tours, Tourism, Destinations, Transportation, Strategic Relationships, Customers, and Advertising - the list is endless because your goal is to include all the topics you need to describe everything you propose to do, how you plan to do it, and what your expenses will be. You may need to include financial pages, such as a projected Return on Investment (ROI). As always, put yourself in your readers' position - what questions will they have? The more specific you are, the more likely your proposal is to persuade the readers that you have done your research, have a good plan, and can fulfill your promises.

In the last section of the proposal, you get a chance to brag about yourself. Here, your goal is to include all the information you have that will convince the reader that you are trustworthy and can carry out the plan you detailed in the previous section. At the very least, you'll want a Company History or About Us page that explains your background.

You can use pages like Experience, Projects, and Clients Served to show your experience with similar projects. You might want to explain any special Training or Credentials you have, or list your Staff or Team Members, and even add Resume or Biography pages. If you have Awards or Testimonials, you should include them, because it always adds credibility when you can show that others value your ideas and services.

After you have all the text written for your proposal, spend some time making your proposal visually appealing. Incorporate your company logo. But after you have all the words on paper, you still need to do two things before you send your proposal out: 1) proofread it carefully to ensure there are no grammar, punctuation, or spelling mistakes, and 2) inspect each page to make sure it looks neat and professional. Package holidays, popularly known as a tour package or simply the word ‘tour’ in the travel and tourism industry refers either to a package tour escorted or not escorted by the tourist guide.

When we say tour package, it means a pre-arrangement, prepaid trip that combines two or more travel components like airfare, airport transfer, accommodation, and other services . Practically, to define the tour package concept is complex one rather understand.

Holloway defines a tour package as “a total tourism product consisting of transportation from the market area to the destination, accommodation at the destination and recreational activities promoted by the tourists.”

According to Gregorg “a tour package is advertised journey including specific features, arranged and promoted with tour literature by a tour operator and paid for in full by the tourists  before starting the tour.”

Technically, a package tour/tour package is a total tourism product as it generally includes transport from the origin place to the destination, accommodation at an en route place or at the destination and other recreational or travel services. These components are purchased by an individual, firm or company called the ‘ tour operator ‘. He combines all the travel components in a package and sells them at all-inclusive prices to the clients.

History of Tour Package

The term ‘tour’ was in vogue as early as 1670. The Britishers traveled to widen their knowledge of the continent, especially to study the culture and social life. This practice was gradually adopted by other lovers of cultural centers.

The result of the process was that many European historic and cultural centers were opened to the British tourist. By the early 1730’s the small fishing resorts around the British coast begin to attract tourists seeking to their diseases by drinking the sea-water or by immersing themselves in it.

The introduction of a rail link between the major centers in 1830, had a profound impact on the pleasure travelers for the first time. Many entrepreneurs began to inspire rail travel by organizing excursions for the public at discounted offers.

However, to ‘the origin of package tour’ the credit goes to Mr. Thomas Cook in 1855 , Cook, extended his business operation to different countries by introducing the first ‘ inclusive tour ‘ to Paris.

Escorted Tour

When a travel agency includes the services of a well educated and trained tour manager in its package, the tour is called an escorted tour. Basically, escorted tours are meant for those travelers who are planning to visit a foreign country first time.

The escort’s responsibilities and duties are to provide comprehensive information and assistance to the group or individual traveler, at the origin, en route and the destination place. The excursion tours are the example of escorted tours.

A hosted tour means when an agency utilizes the services of another agency at a particular destination. Suppose a group of French tourists is coming to India. When the group arrives in India, they are greeted at the airports by TCI, which assists them in clearing their baggage and transfer them to the hotel.

Their tour-host (TCI) is available to offer device and information about the local attractions and entertainment. Further, when the group arrives at another designation in India, a different travel agency greets them at each tourist spot. Incentives Travel/Tour

If we study and see the package tours offered by Thomas Cook and Sons Ltd., Cox and King Ltd., and other international travel companies, we find that a package tour has two major components. Therefore, a standard package tour has two basic components namely:

  • Ground Arrangements

Travel industry experience has shown that the first component, i.e. ‘Travel’ is directly bought by the agency from the principal providers like airlines and transport operators and for ground arrangement, the travel agency management asks the ground operators.

The reason behind buying ground arrangement from a handling agency is that it represents as a ground operator at a particular destination for the numerous tour organizations. Secondly, the price offered by it are much lower than an individual agency obtain. Thirdly, it is very difficult to get credit from the supplier and finally, it ensures professional travel services.

Generally, the business of package tours involves great risk, high breakeven, high-quality product, and competitive prices. Therefore, the tour management requires in-depth tour planning and market survey. Once we know the basic components of the package tour, distribution channels, market conditions, constraints in the tourism market, we can develop the marketing strategy. 2. Itinerary Preparation

By itinerary one means the designing of a programme which one wants to sell and it includes destinations, stopping points, number of days and the travel services that are to be included in the programme. Whether it is a lean season or an offseason, escorted or not escorted, consumer-oriented or readymade tour programme, the itinerary is prepared to identify the origin, destinations, stopping points, accommodations, sightseeing and other travel services on travelers’ trip.

3. Handling Agency or Destination Company

The appointment of handling agency not only ensure excellent travel services to the tourist but also make the operation smooth and profitable. It is a matter of great significance as the success of travel business largely depends upon the clients are actually taken care of during the tour.

It is a positive match between the promised services and tourist’s actual experiences or feelings. Thus, the tour operator should consider the experience of the handling travel agency in the business, the area of operation, reputation, credibility, professional staff, credit facilities and the competitive price in appointing a handling agency.

4. Negotiation

It is another important management decision area in tour designing and planning. Once the decision has been made regarding the destination’s concerning their date, duration and number of clients to be carried during the trip, the tour management starts negotiations with the principals’ suppliers for a normal contract.

Negotiation means talk between the travel companies and the principal suppliers for the terms, conditions, and prices of the components of a tour package. When both parties are satisfied, it leads to a formal or informal contract between them. The tour company negotiates with the following tour vendors/suppliers:

  • Accommodation
  • Transport Operations- Rail and Road

  • Cruise Companies
  • Car Rental Companies
  • The overseas representatives
  • Ancillary Service Organizations

5. Coasting and Pricing a Package Tour

The cost of a package tour encompasses the air ticket, the hotel room, car rental, entertainment charges, administrative costs, promotional costs, and other travel services. The confidential tariff helps the travel company in preparing the cost sheet which will enable the concern to determine its price strategy.

Tour pricing is a big factor in the success of the company’s tour programme. The price of a package tour is, whether it is an escorted, independent or hosted the tour, often lower than the combined costs of the same components purchased separately from the principals. However, the purchase price of a travel product is based on three factors: Cost, competition, and demand.

The city of Baguio recently concluded its Baguio Tourism Week Celebration, and in this event the University of Baguio’s Home of Champions, the School of International Hospitality and Tourism Management, sent some of their best to compete in the Tour Package competition.

Called the #BreatheBaguio Tour Package Proposal Competition, participants had to come up with a tour plan that would entice, promote, and entertain potential tourists in a well executed tour of the city of pines with a focus on sustainability and environmentalism. UB sent over Jewel Reign Rillaroza and Edith Jane Chloe Elegado as one team and Maria Cassandra Ang and Raphael Basmayor as another team.

Both teams showed of their best and represented UB well as the Jewel-Edith team bagged first place and the Maria-Raphael team taking the third place in the competition’s student category. Take a look at the thoughts they had on the competition and in creating their winning entries.

What is the Tour Package Proposal Competition?

In lieu of the Tourism Month, which happens during the month of September, the Baguio Tourism Council organized activities that would focus on Tourism, and one of the competitions would be the Tour Package Proposal: Student Category where students from the different universities in the city should create a 4 Days and 3 Nights Baguio City Itinerary.

Maria-Raphael Team:

This is a competitive matchup for the tourism students in Baguio City. The competition allowed us to showcase our knowledge, skills, and wit. In addition, this competition aims to boost the students’ creativity, marketing skills, selling preposition and create a unique tour package that is composed of sustainable tourism for Baguio City in par with the theme #BreatheBaguio.

How did you come up with your proposal? What thought process did you have when coming up with your proposal?

As a lover of travelling, my partner and I thought of the expectations we usually have when travelling. We then put these thoughts into our itinerary in order to deliver something new, exciting, and something that will exceed the expectations of the target market. We thought of focusing our tour on culture as we both are culture enthusiasts. In addition, we highlighted Agri-Tourism since it is becoming a trend today for they believe that it can help contribute to eco-tourism, in order to reduce carbon emissions brought about by Tourism alone.

Aside from that, we also wanted to highlight new attractions in Baguio City that showcase the creativity of the locals in order to enlighten them as to why the city was hailed as Creative City by the UNESCO in 2017. We also made sure that all attractions and restaurants are unique and can match the theme of our tour package, for instance, we made sure that tourists get to visit Farmer’s Daughter so they can have a taste of authentic Cordilleran Cuisine. In the end, we made sure to highlight the Sustainable Development Goals that our tour package supports in order to encourage our guests to live sustainably, and to help achieve these goals for a better and a more united community.

In coming up with our proposal, we decided to come up with a theme that would encompass the concept of the tour and at the same time, our ideals as a team. Hence, we came up with L.I.F.E. which stands for Learn, Immerse, Fun, and Enjoy Local. The thought process that we had in coming up with the proposal was very goal-directed. We made sure to hit our set agendas within the timeframe that we had set. Furthermore, we believed in “Quality life begins with Quality travel.”

How did your training as a UBian SIHTM student help in this competition?

As UBians for more than 4 years, we implemented all the knowledge we gained from the Mentors of the Champions in order to successfully create our tour package. Apart from that, we also received support and never-ending guidance from our instructors as we asked for advice with every step we took.

As fourth year students of the University, we wanted to continue the legacies of our alumni and embody the spirit of professionalism. Coming from the Home of the Champions, where we inspire each other, continuous training is rigorous and challenging but it pays off. In the long run, we believe that everything that was taught to us will materialize and be utilized for our future in the industry. The training as a UBian SIHTM really helped in the competition as we were taught every aspect of tour packaging from its big picture to the miniscule details.

What was the biggest challenge you faced when coming up with your proposal?

Our biggest enemy was time. As the preparation was during examination week, we had to juggle reviewing and brainstorming about our proposal. In addition, we had little time to prepare, but that alone tested our skills when it comes to time management. At the end of the day, both of us were able to do everything we needed in a small period of time because we learned that with teamwork, everything is possible.

Honestly, the biggest challenge that we faced when coming up with the tour package proposal was time constraint. After the preliminary exams, we jumped right into creating, developing, improving, and mastering our tour package. We were given less than 4 days to do everything to the best of our abilities. Plus, the pressure within ourselves to not destroy the winning streak that our Manongs and Manangs did for our Department.

What do you think made your proposal stand out from the rest?

We made sure that our proposal is something that is not common but is greatly beneficial and will be enjoyed by our target markets. With that, we have highlighted agri-tourism in our proposal to support the locals of Baguio City when it comes to farming, milking, and beekeeping.

Not only that, but we also incorporated underrated destinations and shopping sites which showcases the culture and creativity of Baguio City. In addition, we also made sure that our tour package is a time saver as we made sure that destinations per day are near each other in order to avoid wasting too much time traveling.

In conclusion, we believe that our tour package proposal stood out from the rest because we stuck to two themes: Agri-Tourism and Culture, which can be seen from our itinerary itself, and on our tour package proposals. All of these were made possible by our mentors, our friends and families, as well as our dedication to succeed in delivering a new and refreshing experience to our chosen target audience.

Our tour proposal stood out from the rest because we focused on our theme, ideals, and most importantly, the details and design. The strength of our proposal was the effort and preparation of our team to achieve our desired output.

Having the same vision as your teammate gives you motivation to keep up and reciprocate the same energy. Additionally, the tour package that we had presented supports the United Nations Sustainable Development Goals, specifically SDG 11 and SDG 12. Aside from the technical aspects, we were commended for our great presenting/communication skills.
