Travel Diaries
Finally, after the dark days of COVID-19 and endless lockdowns, etc., we are now seeing glimpses of opportunities to travel again (THANK GOD!). For business owners, this means work-related travel is once more on the table. Given it’s been a while between trips, I thought it might be useful to provide a refresher on travel diaries and when they are required.
When do I need to keep a travel diary and what do I record?
When you travel for work or your business, you are sometimes required to keep a travel diary as per the ATO to assist in working out which part of your travel is tax-deductible . I have outlined the circumstances below which would dictate when you should keep such a diary:
- You are travelling for 6 or more nights in a row outside of Australia , regardless of whether or not the amount you are claiming exceeds the reasonable travel allowance amount .
- You do not receive a travel allowance ,
- You are travelling in Australia (more than 6 nights in a row) and the amount you want to claim is more than the reasonable travel allowance amount .
You should include the following in the diary:
- Your location
- The nature of the activity e.g. a conference
- The day/s and time/s (start and end times)
- The length of the activity e.g. 2 days
- When you stopped for meals
- Travel movements and activities before the activities end, or as soon as possible afterwards
- The entries must be in English
What can I use as my travel diary?
The ATO has said that you can use a diary or journal of your choice for the purposes of keeping a travel diary. You can also use your digital calendar as well, making sure to attach receipts/invoices to each entry.
What other records do I need to keep?
It goes without saying, that you should keep all receipts and invoices related to your travel as well as the travel diary. This will make both the bookkeeper’s and tax agent’s jobs much easier 🙂 and make the ATO very happy!
Lastly, you need to remember that if you were required to keep a travel diary and you didn’t, then you may not be able to claim the relevant travel expenses on your tax return! Speak to your tax agent for further advice if this affects you.

Why you need to keep a travel diary (and how to do it)
If you travel for business or work and are away from your usual residence for six or more consecutive nights, you need to keep a travel diary and substantiate your expenses. And no, we don’t mean a sentimental diary detailing your tourism adventures…
When we hear the phrase “travel diary”, it is easy to picture an aspiring writer trekking through Europe. Whilst that’s a nice idea, we’re talking about something much more practical — a truly useful tool. Keeping a travel diary for business can provide you with much-needed guidance when apportioning trip expenses.
Do you really need a travel diary?
Short answer? Yes. Here’s the long answer: let’s say you’ve flown internationally for six nights to attend a work conference and to secure a contract with an international client. After the convention, you’re treated by your client to many expeditions, meals and invaluable connections (lucky you!). Some nights, you’re by yourself and enjoy soaking up the local atmosphere.
Upon your return, the whole trip becomes a blur, but the next day you must report back all business expenses… Without a travel diary, you’ve completely lost track of your expenses and only have a few ambiguous receipts. A travel diary is a saving grace that removes any guesswork, and saves you time when it comes to reporting what you did.
Of course, not all business trips warrant a travel diary. If trips are less than six nights and predominantly for business, then keeping track of personal expenses may not be necessary. However, if using a travel diary brings ease of mind, there is no harm in using one, no matter how small the trip.
How to use a travel diary.
Choose how you best write on the go — a physical or digital diary. You might even manage by simply taking notes on your phone. You can also download a Travel Diary sheet with all the fields you need — we have one we give our Ascent Accounting clients.
At the end of each day — or at each instance if you prefer — write down:
- The date.
- A description of each activity.
- The total cost (if applicable) and currency used.
- Details of who supplied the goods and services.
- The start and end times of the activity so the duration is clear.
- The location of the activity, for example, the name and suburb of a restaurant (not just “Sydney” or “Thailand”).
- If you have a receipt, keep this, too.
Once you return from your trip, you can then apportion the business expenses based on the percentage calculated on time. For example, if only half of the trip was for business, then you’d apportion half of the cost to business.

Travel Diary Overseas is a simple program to use. It includes a diary to comply with ATO requirements and also a place to record all of your travel related expenses. The reports include the Travel Diary and Travel Expenses totalled by category and also provide a summary of all transactions for each category for a specified date range.

Travel Diary Report – enter start date and end date and “generate report”. This shows a detailed report of all travel diary entries for that period listed in date order.
TRAVEL EXPENSES Complete the following: • Date • Payee who the expense was paid to. To add a regular payee use Manage Payees. The payee will be saved for future use • Details enter extra information in relation to the expense • Category – Drop down list for standard expenses. To add your own category click “Manage Categories”. • Amount $ price of expense. If it is in $Aus put in that box. If in Foreign currency put in that box and then the conversion rate and $Aus box will be calculated for you. • Work Percentage if the expense is not 100% used for work change the % to the work percentage • Save creates the expense item.
Reports Generated – Shows reports generated. Data is as at generated date a new report must be generated to reflect any changes.
Travel Expenses – enter start date and end date and “generate report”. This shows a detailed report for all travel expenses for that period listed in date order.
Travel Expense Categories – enter start date, end dated and choose a category. This shows a detailed report for the selected category for that period.
Travel Expenses All Categories – enter start date and end date and “generate report”. This shows a detailed report for all travel expenses listed within each category.
All Reports can be saved to your device or printed using the information on the screen.

We do not have a standard template to track hours worked from home. However, we do have some suggestions of how to keep a record of hours worked at home.

Working from home expenses
Deductions for expenses you incur to work from home such as stationery, energy and office equipment.

Eligibility to claim
To claim working from home expenses, you must:
- be working from home to fulfil your employment duties, not just carrying out minimal tasks, such as occasionally checking emails or taking calls
- incur additional running expenses as a result of working from home
- have records that show you incur these expenses.
To calculate your deduction for working from home expenses, you must use one of the methods set out below.
Where you incur running expenses for both private and work purposes, you need to apportion your deduction. You can only claim the work-related portion as a deduction.
Additional running expenses
Running expenses relate to the use of facilities within your home. These expenses are generally considered private and domestic expenses. You can claim a deduction for additional running expenses you incur as a direct result of working from home.
Additional running expenses may include:
- electricity or gas (energy expenses) for heating or cooling and lighting
- home and mobile internet or data expenses
- mobile and home phone expenses
- stationery and office supplies
- office furniture such as chairs and desks
- equipment such as computers, laptops and software
- the repairs and maintenance to depreciating assets.
In limited circumstances where you have a dedicated home office, you may also be able to claim:
- occupancy expenses (such as mortgage interest or rent)
- cleaning expenses.
If your employer pays you an allowance to cover your working from home expenses, you must include it as income in your tax return.

Choosing a method to calculate your claim
From 1 July 2022 there are 2 methods available to calculate your claim:
- an amount per work hour for additional running expenses
- separate amount for expenses not covered by the revised fixed rate, such as the decline in value of depreciating assets
- you no longer need a dedicated home office.
- the actual expenses you incur as a result of working from home.
You must keep records to show you incur expenses as a result of working from home. The type of records you need to keep will depend on the method you choose to calculate your expenses.

Expenses you can't claim
You can't claim a deduction for:
- coffee, tea, milk and other general household items, even if your employer may provide these at work
- costs that relate to your children's education, such as equipment you buy – for example, iPads and desks, subscriptions for online learning
- items your employer provides – for example, a laptop or a mobile phone
- expenses where your employer reimburses you for the cost.
