Fiscal Year 2023-24 Applications Are Now Open

Travel Grants support domestic and international travel to conferences in addition to virtual conferences and meetings of recognized scholarly societies for the purpose of presenting results of original research and/or creative activity.

Academic Senate Members   may apply and be awarded up to  one conference travel grant per fiscal year ( July 1 through June 30 ). Applications must be received by May 31 (No exceptions):

  • domestic up to $700 including Canada and Mexico
  • international up to $1500
  • or virtual up to $250 .

Google Travel and Conference Grants

At Google, we believe a diversity of attributes, experiences, and perspectives are needed to build tools that can change the world. Everyone deserves the opportunity to pursue a career in computer science and technology, regardless of race, ethnicity, gender, disability or military service. To help break down the barriers that prevent underrepresented groups in computer science from attending leading tech conferences, we're excited to offer Google Travel and Conference Grants for selected conferences in Computer Science and related fields. Grants are available in North America for all traditionally underrepresented groups in technology (including, but not limited to, African Americans, Hispanics, Native Americans, persons with disabilities, women and veterans), in Europe for women in technology, in India and in Africa for students who have their research papers accepted at top-tier conferences in Computer Science and related areas.

To encourage attendance at technical conferences, Google will provide selected recipients:

  • Free conference registration
  • North America: A $500 reimbursement to retroactively be used toward airfare and accommodation costs (will be awarded after the conference)
  • Europe: Up to 1000 EUR towards travel and accommodation costs (will be paid after the conference)
  • India: An award in the range of $1000 - $3,000 that will cover conference registration, travel, accommodation and other related expenses.
  • Africa: An award in the range of $1000 to $3000 that will cover conference registration, travel, accommodation and related expenses. Grant amount depends on cost for the international conference.​
  • Japan & South Korea: Up to $3000 towards air tickets and lodging cost (will be paid after the conference). Grant amount depends on cost for the international conference.​

Grant eligibility varies by region, so please review the information on the region-specific pages on the left. Grants will be awarded to the most qualified persons based on application review. Every applicant will be notified of their status according to the time frames specified for the region.

North America

Eligibility.

To be eligible for a grant to attend a conference in North America, applicants must:

  • Be a resident of North America
  • Be 18 years of age or older
  • Work or study in Computer Science, Computer Engineering, Information Technology, or a technical field related to the conference subject
  • Have a strong academic and/or professional background with demonstrated leadership ability
  • Def Con Conference (Deadline: May 25, 2018)
  • International Design Conference (Deadline: July 1, 2018)
  • ICMCP (International Consortium of Minority Cybersecurity Professionals) (Deadline: July 6, 2018)
  • ACM Richard Tapia Celebration of Diversity in Computing Conference (Deadline: July 13, 2018)
  • Society of Women Engineers: Women in Engineering (WE) Conference (Deadline: August 10, 2018)
  • Neural Information Processing Systems (NIPS) (Deadline: August 27, 2018)
  • Society of Hispanic Professional Engineers (SHPE) National Convention (Deadline: August 31, 2018)

Claim process

Recipients will be notified by e-mail approximately 8 - 10 weeks prior to the date of the conference. If you are selected, we will contact you with conference registration details and information about how you will receive your $500 post-conference reimbursement.

To be eligible for a grant to attend a conference in Europe, applicants must:

  • Be a woman working or studying Computer Science, Computer Engineering, or a technical field related to the conference subject (no residency restrictions apply)
  • Women of Silicon Roundabout 2018 (Deadline: April 27th 2018)
  • International Conference on Machine Learning (ICML) (Deadline: May 1, 2018)
  • International Conference of Knowledge Discovery & Data Mining (KDD) (Deadline: June 8, 2018)
  • European Conference on Computer Vision (ECCV) (Deadline: June 29, 2018)
  • SREcon 2018 (Deadline: July 1st 2018)
  • European Women in Tech 2018 (Deadline: September 1st 2018)

Please submit this form by the deadline for the conference listed above that you wish to attend.

All applicants will be notified of the outcome of their application by email, approximately three to four weeks prior to the conference. If you are selected, you will receive additional information on how to register for the conference and how to receive your grant.

To be eligible for a grant to attend a conference in India, applicants must:

  • Be a student enrolled with a recognized university in India who is in need of conference travel funds.
  • Have a paper accepted at a top-tier top-tier Computer Science conference. We prefer to support conferences in research areas where Google has a strong interest. Please visit research.google.com for a list of areas. The paper must be accepted for full publication and preferably full oral presentation. As an indicator, we have recently approved travel grants for CVPR, NIPS, CHI, STOC, PLDI, COLT, ICML, CIKM, KDD, ICCV, EMNLP, ACL, Interspeech and FSE.
  • Be the primary author of the accepted paper.
  • Have a paper accepted for oral presentation in the main conference program. Some conferences may have different presentation guidelines in which case the equivalent of a conventional full oral presentation must be considered. Workshop papers will not be approved for travel grants.

We review applications every week, all year round, therefore you will get our reply within ten days. Once approved for a travel grant, the funds will be paid to the applicant’s university and the student may claim expenses using regular university procedures. To be eligible for a grant to attend an international conference, applicants must:

  • Be a student enrolled with a recognized university in Africa who is in need of conference travel funds.
  • Studying Computer Science, Computer Engineering, or a technical field related to the conference subject.
  • Have a paper accepted for presentation (oral or poster) in the main conference program at a top-tier Computer Science conference. We prefer to support conferences in research areas where Google has a strong interest. Please visit research.google.com for a list of areas. The paper must be accepted for full publication and preferably full oral presentation. Workshop papers will not be approved for travel grants.
  • Be the sole or joint first author of the accepted paper.

Please submit this form by the deadline for the conference that you wish to attend. We are currently accepting applications for conferences in 2018 only.

We review applications monthly, all year round, therefore you will get our reply four to six weeks from the date of the application. Once approved for a travel grant, the funds will be paid to the applicant’s university and the student may claim expenses using regular university procedures.

  • Be a full-time student enrolled with a recognized university in Japan or South Korea who is in need of conference travel funds.

We review applications in the first week of every month, except public holidays. All applicants will be notified of the outcome of their application by email. If you are selected, you will receive additional information on how to receive your grant.

Conference Travel Grant

The Conference Travel Grant (CTG) provides funds to assist PhD and MFA students attending virtual (remote) academic/professional conferences or traveling to/attending in-person academic/professional conferences on behalf of Northwestern University.

Applications are accepted on a quarterly basis. The application form for a particular quarter will remain open until the f unding cap has been reached and the maximum number of CTGs has been awarded for that period.

  • The application portal will open on February 1, 2024 for conferences that begin in March, April or May of 2024.
  • The application portal will open on April 29, 2024 for conferences that begin in June, July or August of 2024.

Applications must be submitted at least one week prior to the conference start date, but students are encouraged to apply as soon as possible, as funds are limited and there is no guarantee that funding will be available for the entire quarter. Under no circumstances will approval be given retroactively if an application is submitted after the conference has begun.

Funds awarded for travel in the 2023–24 academic year (Fiscal Year 2024) are available for use until August 31, 2024. Funds awarded in the current fiscal year do not carry forward and cannot be used in the next fiscal year (after August 31, 2024).

Eligibility

  • Students must be active (not discontinued, graduated, or on leave) in PhD or MFA programs administered by The Graduate School (TGS) and within their degree time limitation at the time of the conference travel . Should students graduate or otherwise depart the University prior to travel and/or expenditure of funds, funds will not be available.
  • CTG awards may only be used for voluntary attendance at academic/professional conferences in furtherance of a student’s own academic/career interests. CTG awards may not be requested or used to attend conferences that are required as part of a graduate student’s employment, or to attend courses, trainings, or extended programs.
  • Students are eligible for a maximum of two grants , each up to $600/$800 (depending on discipline—see Award information below), over the entire course of their graduate career in The Graduate School and subject to availability of funds.
  • A student is eligible to receive only one travel grant award during a fiscal year and cannot have already received a CTG in the current fiscal year.
  • Students traveling outside of the United States must adhere to all graduate student travel policies .  Failure to do so could result in revocation of the Conference Travel Grant.
  • International Students: F-1 or J-1 students must obtain work authorization before accepting any payment, honorarium, or compensation (such as travel or lodging reimbursements) from external sources outside of Northwestern for conference attendance. Compensation from Northwestern does not require work authorization and is considered on-campus employment.   • all PhD programs in the McCormick School of Engineering and Feinberg School of Medicine
  • the Weinberg College of Arts and Sciences PhD programs of Astronomy, Chemistry, Earth and Planetary Sciences, Physics, and Plant Biology and Conservation
  • the IBiS, Applied Physics, and NUIN interdisciplinary PhD programs
  • all PhD programs in the Bienen School of Music, Kellogg School of Management, and School of Education and Social Policy
  • all PhD and MFA programs in the School of Communication
  • all Weinberg College of Arts and Sciences PhD and MFA programs not listed above
  • the Computer Science & Learning Science and Technology & Social Behavior interdisciplinary PhD programs

Awards must be expended prior to the end of the fiscal year in which they are awarded. Expense reimbursement requests not properly submitted and approved by the end of the fiscal year (August 31) cannot be processed

  • Expense reports must be submitted within 60 days of the last date of travel (or by August 15, whichever comes first) and include prepaid expenses such as Egencia.  Failure to submit expenses within 60 days of the end of travel will result in cancellation of the award, barring exceptional circumstances.
  • Conference registration fees
  • Airfare/airline fees at the most reasonable and economical rate. Travel for Northwestern purposes should be booked through a preferred provider.
  • Ground transportation: Taxi fares or ride shares (e.g. Uber, Lyft), including tips, are reimbursable where public transportation is not practical. Rail transportation is reimbursed if it does not exceed the cost of the least expensive airfare. Private automobile transportation is reimbursed per mile at a rate set by the University for trips up to 300 miles.
  • Meals: Travelers should use reasonably priced restaurants and dining options. Alcohol is never an allowable expense. A p er diem may be used for meals instead of  tracking itemized receipts.
  • Commercial rental vehicles: Commercial rental vehicles (economy, compact or subcompact) should be used only when it is impossible to use other forms of ground transportation, and when car rental does not exceed the cost of the least expensive airfare.
  • Lodging: Travelers must book standard accommodations in reasonably priced, commercial class hotels, motels, and Airbnbs. Conference site hotels will be reimbursed at the actual cost. To verify the conference site hotel rate, attach the conference literature to the expense report when requesting reimbursement.
  • Tolls and parking fees: Tolls and reasonable parking charges will be reimbursed.
  • First class, business class, or economy plus airfare
  • Airline, hotel room, or car upgrades
  • In-flight Wi-Fi
  • Books, magazines, newspapers
  • Childcare, babysitting, house sitting, pet-sitting (see the  Dependent Care Professional Development Grant  for information on funds for dependent care during conference travel)
  • Clothing, gifts, luggage, haircuts, laundry, dry cleaning
  • Passports, vaccinations, visas
  • Personal entertainment (in-flight movies, headsets, social activities)
  • Meals and hotel stay during local (Chicagoland) conferences within a 25 mile radius of Evanston
  • Non-refundable fees that result from trip cancellation
  • Fees/costs related to attending or traveling to courses, extended programs, trainings , or other meetings/ events that do not fall into the category of professional or academic conference s .
  • Other expenses not directly related to traveling to/from and participating in the specific conference for which the CTG was approved

Students must submit a Conference Travel Grant application as outlined in the Deadline information above.

Review process

The Graduate School will review Conference Travel Grant applications within 5 to 10 business days.  Students will receive a notice via email once a decision is reached.  If a Conference Travel Grant is awarded, the student's program will be copied on the email notification.

CONFERENCE TRAVEL GRANTS (CTG)

CTGs fund 50% of your expenses (up to $500) to present your research at conferences or exhibitions.  CTGs can also be used to present original creative projects  at juried competitions for performance based disciplines . Presenting at conferences or performing at juried events can help you communicate your research findings, network with other researchers, and expand your understanding of the scope and nature of academic research.  Plus, it is great experience in learning to effectively present your work to others.

You can apply for a CTG to fund any accepted presentation at a recognized regional, national, or international conference or meeting in your field.  Check the   international projects  page for important information on travel restrictions.

After you receive this grant and if you receive financial aid and currently have a Northwestern scholarship, you might be eligible for additional funding to support this conference travel.  If you need emergency help to fund this travel, please review the  Emergency Aid Request   available through the financial aid office.  You can use the same document that you upload for this grant as your documentation. 

The deadline is rolling throughout the academic year. You cannot apply until you have been accepted by the conference/exhibition, but you must apply prior to the actual event taking place. June 1st is the last possible day to apply for 2022-2023.

Eligible Applicants:

  • All current Northwestern University undergraduates (including SPS students working towards completion of an undergraduate degree and NUQ students)
  • Students are eligible for more than one Conference Travel Grant
  • Seniors who were  accepted to present prior to the grant closure deadline, even if the event itself occurs after graduation

Ineligible Applicants:

  • Undergraduates at other institutions
  • Northwestern students in advanced degree programs (including students who are in BS/MS programs who have completed the undergraduate degree requirements)
  • Students applying for retroactive funding to cover a conference they previously attended

Group Projects

Special note for nu-qatar students, developing your application package, selecting conferences or exhibitions.

Presenting at a professional conference is a significant achievement as an undergraduate.  It demonstrates your ability to communicate a complex topic with a broad audience, and it validates the impact of your work within your field of study. Regardless of what career path you choose to pursue post-graduation, attending a conference demonstrates both written and oral communication skills to employers. Additionally, conference attendance can be leveraged to help build your professional network. Many conferences have Exhibition Halls that include booths from companies in the industry, and/or the conference may have a Graduate School Fair. If you are seeking to attend graduate school and work with a particular faculty member, it could also be a good idea to attend their presentation,  and/or meet with current graduate students who work with that faculty member.

The best way to find a conference   is to first talk to your research sponsor  and ask about conferences in your field and which ones they often attend themselves.  One particular challenge many undergraduates face is that conference applications are often due many months before the conference takes place, so you need to proactively think about this goal. It can help to share this goal with your research sponsor early so they can help you 1) work towards achieving this goal and 2) help you identify the right conferences and timelines that suit your needs.

Many conferences are sponsored by field-specific professional organizations, but there are undergraduate specific conferences* (see * below), too.  The networking opportunities and goals of these two different kinds of conferences vary significantly, but they can both be very meaningful experiences. It could be beneficial to try and attend more than one kind of conference. The Office of Undergraduate Research does not keep an ongoing list because students attend such a wide variety of conferences (and the titles of the conferences often change from year-to-year!). Although this is by no means comprehensive, every year we have students attend conferences sponsored by:

Applying to a Conference

Applications for many conferences will require an abstract submission, which summarizes the work you plan to present. A good abstract will be a short description of the main elements of your research or creative project. Conference attendees will use your abstract to decide whether they want to take the time to listen to your presentation.  The abstract should be short and written in a simple, concise, informative, and inviting style. You want to convey both your credibility and your passion for the project. All conferences have their own abstract guidelines (such as word or character count, intended audience, etc.), so you should always defer to their specific requirements when applying to a conference. Failure to comply could result in not being selected to present.  A good abstract will include these key elements.

  • Motivation:  Why do we care  about the problem and the results? Why is it important/significant/interesting? What problem does the work attempt to solve, or what intellectual or theoretical gap does it aim to fill?
  • Problem statement:  What  problem  are you trying to solve? What is the  scope  of your work (a generalized approach, or for a specific situation)?  Be careful not to use too much jargon. 
  • Approach:  How did you go about solving   or making progress on the problem?  What did you do, and how? What is the scope of the project? What models or specific approaches did you use? What sources of evidence did you rely on?
  • Results:  What’s the answer?  What did you find/learn/conclude? An abstract of a scientific project may include specific data. Other abstracts may discuss the findings in a more general way.
  • Conclusions:  What are the implications   of your answer? What does it mean, and how does it relate to what else is known? How does this work add to the existing body of knowledge? What are the implications for the problem/issue identified in part 1?

Important Tips

  • Think about who the audience will be. Look to see who commonly attends the conference you selected.
  • Proofread your abstract. If you are accepted to present your work, the abstract you submit will be published in a printed program.
  • Unless the conference explicitly asks for them, avoid parenthetical citations and footnotes. Short abstracts do not typically include references, a Works Cited list, or footnotes.

Budgeting for Conference Expenses

Please visit Creating a Budget for specific guidelines. For in person conferences, students often underbudget their expenses because they do not think holistically about logistics and expenses beyond conference fees. The template can be useful for drafting up your responses, but you will ultimately insert these as line items into the budget section of the application (which includes a space to describe your rationale for each expense).

Here are some conference-specific budget considerations we encourage you to think through:

  • Conference fees
  • Poster printing costs (Ask about poster printing in your department, or consider using the Mudd Library Plotter Printer. )
  • Transportation (If you are flying, do not forget about transportation to/from the airport, or within the city itself. If you are driving, consider parking fees or gas reimbursement.)
  • Housing (if housing is not provided by the conference, the conference website often includes links for hotel block discounts, local dorms, and potentially ways to find a roommate.)
  • Food (ask for a reasonable per diem, subtracting out meals that are covered by conference attendance fees)

Applying for the Conference Travel Grant

You won’t write a traditional research grant proposal to apply. you won’t turn in receipts or a report at the end. .

Application Basics

To apply you’ll provide:

  • Basic demographic information, such as your major and graduation date
  • Information on the conference (title, location, dates)
  • An abstract of your presentation/submission (your name must appear on it)
  • Proof of acceptance to present at the conference (ie screenshots from emails)
  • Information about the conference’s standing in your field of study
  • Project expenditures across categories such as: conference fees, airfare, local travel, accommodations/lodging, and food
  • The form fields in the application will sum your total expenses for you. However, since this grant can only cover 50% of expenses up to $500, there will be a box for you to describe how you will fund the other 50% of expenses.

You cannot apply for conference travel funding until you receive acceptance from the conference/event.

Funding the Other 50% of Expenses

This grant is only for 50% of your total expenses. You’ll need to find money for the other half. WCAS students can apply for  their conference grant .  SESP students could apply to the  Hess Fund . After you receive this grant and if you receive financial aid and currently have a Northwestern scholarship, you might be eligible for additional funding to support this conference travel.  If you need emergency help to fund this travel, please review the  Emergency Aid Request  that is available through the financial aid office.  You can use the same document that you upload for this grant as your documentation. Students from other schools could reach out to their undergraduate dean and/or their major department to see if additional funding is available.

Faculty Endorsement and Faculty Role

Faculty mentors can give you awesome ideas about where to present your work! Your faculty sponsor is not required to attend the conference with you, but they will provide an endorsement of your application. You may have a faculty sponsor from another academic institution, but you must  request a guest sponsorship from the Office of Undergraduate Research prior to application submission; please provide us the name of the faculty mentor, their email address, and the name of their academic institution. Graduate students or post-docs may not serve as faculty sponsors.

  • Your faculty sponsor/advisor must submit an online endorsement as soon as possible after you submit. Unendorsed projects will not be considered. 
  • The faculty endorsement consists of the following prompt:  Please offer you opinion on the quality of the conference itself and the specific opportunity it affords your student.

Travel Grant Guidelines

Eligibility.

  • An applicant can receive a travel grant only once every 12 months.
  • Applicants must be a current IEEE WIE member and be at least in their second year of continuous WIE membership.
  • Only one author per paper for the conference will be awarded a travel grant.
  • The following conferences/events are not eligible for the travel grant: ºIEEE WIE International Leadership Conference ºIEEE Regional Annual General Meeting ºIEEE WIE International Leadership Summit

Required Documents to Apply

  • For IEEE Conferences: A 300 word narrative proposal describing the applicant’s reason for applying and financial need, letter indicating the applicant’s paper has been accepted, and a recommendation letter from a supervising faculty member (for students).
  • For a WIE Event: A 300 word narrative proposal describing the applicant’s reason for applying and financial need and an invitation letter.

Reimbursement

  • Completed post-event report including photos
  • Completed expense report including receipts
  • Instructions for submitting the post-event report and expense report will be provided upon confirmation that your request was approved.

Travel Grants

On a competitive basis, IEEE ICC 2024 offers a number of grants to students and to individuals who are financially limited. To be eligible for a student travel grant, the applicant must be registered for the conference, a student, and a co-author of an accepted peer-reviewed paper for the conference. Additionally, a Conference Travel Grant (CTG) is available for applicants who are unable to obtain sufficient funding due to, for instance, being from a country with a low GDP.  The grants are from: IEEE ComSoc, US National Science Foundation (NSF), Women in Communications Engineering (WICE), and IEEE Conference Travel. These grants encourage participation by students or individuals who would normally find it difficult to attend. Women, minorities, individuals from low GDP countries, beginning graduate students, and first time ICC attendees, are especially encouraged to apply. Postdocs, faculty, or other senior research personnel may not apply for a student grant.

CONFERENCE TRAVEL GRANTS

Conference Travel Grants (CTG) is a newly established IEEE ComSoc program that provides partial financial support for participation in IEEE ComSoc conferences. 

APPLICANT ELIGIBILITY

To be eligible for a CTG at ICC 2024, an applicant must be:

1.    A ComSoc member 2.    An ICC 2024 participant; and 3.    Unable to obtain sufficient substantial funding from their own institution or other sources, and forced to cover most of or all the associated expenses with their own funds

Priority will be given to:

  • Authors of accepted ICC 2024 Conference Papers
  • Presenters of accepted talks at ICC 2024
  • Those residing in a country with a low Gross Domestic Product (GDP) per capita

IEEE COMSOC STUDENT GRANTS

IEEE ICC 2024 offers ComSoc grants to students who have co-authored an accepted peer-reviewed paper for the conference. 

1.    Each applicant must be a Student Member or Graduate Student Member of the IEEE Communications Society at the time he/she applies for the grant;

2.    Each applicant must be a co-author of an accepted paper in ICC 2024 and present it at the conference;

3.    Each applicant must be a full-time student registered toward a Bachelor, Masters, or PhD degree in computer science, engineering or related field in a college or university when submitting the application;

4.    During the expense reimbursement stage, the student applicant must show the proof of having registered to attend ICC 2024.

A student who is awarded a student grant must register, attend, and present their paper at the conference. Payment will only be made to grant recipients who submit the expense report (with receipts for expenses over US$25) within 45 days after the conference. More details will be provided to the students who are selected to receive a ComSoc Student Grant.

NSF STUDENT TRAVEL GRANTS

IEEE ICC 2024 offers NSF travel grants to students on a competitive basis. The NSF travel grants help promote diversity among the conference attendees. The NSF grants especially encourages applicants that are: 1) women and minorities and 2) beginning graduate students, or (3) first-time ICC attendees. The awarded student must attend in person .

1.    Each applicant must be a) a qualified full-time student (graduate or undergraduate) enrolled in a US-based institution or b) a US citizen enrolled in a foreign institution coming to the US-based conference;

2.    Each applicant must be a co-author of an accepted paper in ICC 2024 (main program or workshop);

3.    Each applicant must be a full-time student registered toward a Bachelor, Masters, or Ph.D. degree in computer science, engineering or related field in a college or university when submitting the application;

4.    This grant particularly encourages women, minorities, beginning graduate students, and first time ICC attendees to apply.

IMPORTANT NOTE

All flights made on an NSF travel grant award must be either on a US-flag carrier or ticketed through a US carrier (e.g., codeshare flights on international airlines). A student who is awarded a student travel grant must register, attend, and present the paper at the conference (the student should attend in person, not remotely). During the expense reimbursement stage, the student applicant must show proof of having registered to attend ICC 2024 along with photos showing participation in ICC events such as presenting papers or attending technical symposiums. Payment will be made only to grant recipients who submit an expense report with all the receipts no more than 45 days after the conference. More details will be provided to the students who are selected to receive an NSF Student Travel Grant.

IEEE WICE STUDENT GRANTS

ICC 2024 offers WICE grants to students who have co-authored an accepted peer-reviewed paper for the conference and are members of ComSoc’s Women in Communications Engineerin g   committee. 

1.    Each applicant must be a Student Member or Graduate Student Member of both the IEEE Communications Society and IEEE WICE at the time he/she applies for the grant;

2.    To be qualified for the funding from WICE, the awardee is required to attend the WICE events at IEEE ICC 2024;

3.    Each applicant must be a co-author of an accepted paper in ICC 2024 and present it at the conference;

4.    Each applicant must be a full-time student registered toward a Bachelor, Masters, or PhD degree in computer science, engineering or related field in a college or university when submitting the application;

5.    During the expense reimbursement stage, the student applicant must show the proof of having registered to attend ICC 2024.

A student who is awarded a WICE student grant must register, attend, and present their paper at the conference. Payment will only be made to grant recipients who submit the expense report (with receipts for expenses over US $25) within 45 days after the conference. More details will be provided to the students who are selected to receive a WICE Student Grant.

HOW TO APPLY FOR A STUDENT GRANT

IEEE ICC 2024 is using a single application for all three grants.  The application can be accessed in EDAS by selecting “Travel Grants” at the top of the page or by clicking this link . 

The application will ask which of the three grants you are eligible for and would like to be considered, if you have previously attended a conference organized by ComSoc (including ICC and GLOBECOM conferences), your academic level, and number of years in your current program.  The application includes a field for you to enter a short statement of interest.

A letter of recommendation is required.  The letter should be from the student’s advisor or co-author, and should verify that the applicant is a student in good standing.

Before submitting the application, applicants are advised to update their EDAS profiles so that it includes their current affiliation (including the location of the university they are attending), their IEEE membership information, and their gender.

Many times universities and colleges lay aside money for particular departments so deserving students can take part in seminars, conferences, workshops, or other relevant symposiums. They might sponsor one or two events yearly for such students.

Research Organizations and Agencies

Whether you want to attend fully funded international conferences in Canada or any other place, you can always ask certain agencies for funding. Here are some popular agencies that can fund your international conference trip:

DMM Conference Travel Grants

About dmm conference travel grants.

DMM Conference Travel Grants are aimed at early-career researchers wanting to attend scientific meetings, conferences, workshops and training courses relating to the areas of research covered by the journal .

DMM will consider applications to attend virtual and online scientific meetings, conferences, workshops and training courses.

Each application will be judged on the excellence of the candidate and any work being presented in a talk or poster.

Applicants will usually be PhD students and post-doctoral researchers at the beginning of their research careers, using the funding to support their travel.

We also welcome applications from independent group leaders and PIs with no independent funding, seeking support to attend meetings, conferences, workshops, courses, PI laboratory management courses and courses to re-train.

Note: We are unable to pay awards to recipients in jurisdictions, countries or regions of the world subject to sanctions, embargoes or other political trade restrictions put in place by the United Nations, the EU or the UK.

General guidelines:

  • Maximum funding is set at £400 within the home country and at £600 for meetings overseas.
  • The amount given depends on demand and may provide only a portion of the requested funding.
  • Applicants who are presenting talks or displaying posters might be looked on more favourably than those who are not.
  • DMM does not fund applications made retrospectively, so please submit your application in good time.
  • DMM reserves the right to reject applications to attend conferences or workshops that it considers to be possibly ‘predatory’ in design. We strongly encourage applicants to judge the legitimacy and credentials of conferences to help decide whether or not to attend. The Think.Check.Attend  initiative might be useful in this regard.
  • The date of travel must occur within six months of funding being awarded.
  • Unsuccessful applicants may not submit a new application within 12 months of their initial application unless otherwise advised to by the Grants Administrator.
  • Applicants should not have received other funding from The Company of Biologists in the past 12 months.
  • Funding of multiple applications from the same lab or department will be limited, and it is likely that only one will be awarded each round.

Guidelines for completing the application:

  • The application and all supporting documents must be completed in English.
  • It is your responsibility to ensure that you meet the criteria required for a grant.
  • Expenses include registration fees, travel, subsistence, accommodation and visa fees. Travel insurance costs are not to be included in the expenses.

Please upload the following documents to your application (note: all letters of support must be in English, on headed paper and signed).

  • For PhD students and post-doctoral researchers: a supporting letter from your supervisor confirming your status.
  • For independent group leaders and PIs: a supporting letter from your Head of Department confirming that no independent funding is available to attend meetings and courses.
  • A short justification for your proposal outlining why you should be awarded the grant.
  • A copy of any abstract submitted to the meeting or conference for which funding is requested.
  • Curriculum Vitae.

Terms and conditions for successful applicants:

  • Support from DMM and The Company of Biologists should be acknowledged in any presentations given or posters displayed at the meeting or course (logo will be supplied).
  • Any unspent funds must be returned within one month of the end of the travel.
  • If for any reason you do not attend the conference, workshop or course, please email  [email protected] . Please also arrange for the funds to be returned, in full.
  • You must keep all of the receipts related to your visit to upload on the via the online application portal on your return.
  • You must provide a 250-word meeting report and at least two bright, clear photographs.
  • We might use material from DMM Conference Travel Grant reports on our website, social media and other promotional materials.

If I am awarded a DMM Conference Travel Grant, will I get the funding before I go?

Yes, we pay the funds directly into your personal bank account once the award has been granted.

I assume any amount of money that I can’t explain with receipts will have to be returned?

Yes, we do require evidence for every expense incurred and paid.

Do supporting letters have to be signed?

Yes, all supporting letters must be on headed paper with a signature, scanned and uploaded with your application.

What information needs to be included in the Letter of Status from my Supervisor (PhD/post-doc applicants) 

The Letter of Status must include who you are, describe the work you are doing and how long you have been at that institution.

or (Group leader/PI applicants)?

Letter of support from your Head of Department confirming that no independent funding is available to attend the meeting/course.

Is it acceptable to complete the application with estimated costs for expenses as I don’t know the exact costs at this stage?

Yes, that is acceptable, as you will be required to provide evidence of expenditure and return unspent funds.

Can I apply for a DMM Conference Travel Grant retrospectively?

No, we do not award funds for travel that has already occurred.

Will I have an answer about the result of my application even if it is negative?

Yes, you will be notified even if your application is unsuccessful.

Conference Travel Grant

The GSA Conference Travel Grant is intended to help offset the costs of travel or registration fees at professional conferences at which a graduate student is presenting original research. Eligible students will receive up to $500 in reimbursement for registration or travel costs related to conference travel during the 2023-2024 academic year.

Please note that you do not receive the grant beforehand , it is only processed after you attend your conference and submit proof of attendance. Examples of proof of attendance are a picture of your conference badge, of you presenting, or a letter or email from the conference organizers confirming your attendance. This proof of attendance can be emailed (as JPEG or PNG file type ONLY) during or after you attend the conference to [email protected]

You can find additional funding through  the Academic Senate .

Eligibility 

This grant is open to graduate students at all levels. Advancement to candidacy is not a requirement. Students serving as a commentator/discussant are not eligible for the travel grant. Students on any kind of leave from UCSB and not enrolled in courses are not eligible for the travel grant. For summer conferences, you must be enrolled in the subsequent Fall quarter in order to receive the grant . This is a Graduate Division requirement.

An applicant must be accepted to present original research data and have expenses not covered by other funding sources. Applicants who plan to attend a conference but are not presenting at that conference or who have complete funding for the conference through other sources (department, academic travel grant, etc.) are ineligible. 

Students may only receive one grant per academic year. The  academic year  includes the summer after the spring quarter. For example, if you get a travel grant during the 2023-2024 academic year, you will not be eligible for funding during the summer of 2024.

Lottery Process

2023-2024 rules: During the academic year, forty-five travel grants are allocated each quarter. Eligible applications will be chosen randomly using a lottery system after the application process has closed (see deadlines section below). Late applications are not accepted. Disbursement of grant money may take up to 4 weeks due to the Graduate Division financial approval process.

Deadlines 

Applications are accepted for review at the beginning of the quarter in which the student will attend the conference. Please refer to the application window dates below to confirm when you need to submit your travel grant.

Fall quarter (September 17-December 31) submit application by 10/20/23 at 9PM. Winter quarter (January 2- March 31) submit application by 1/26/24 at 9PM. Spring quarter (April 1-June 14) submit application by 4/19/24 at 9PM. Summer sessions (June 15-September 14) submit application by 5/31/24 at 9PM.

APPLICATION WINDOWS 

Fall Quarter 2023: Submit application between 09/25/2023 and 10/20/2023.  Grant recipients will be notified by 10/31/2023.

Winter Quarter 2024: Submit application between 01/02/2024 and 01/26/2024.  Grant recipients will be notified by 02/07/2024.

Spring Quarter 2024: Submit application between 03/25/2024 and 04/19/2024.  Grant recipients will be notified by 04/30/2024.

Summer 2024: Submit application between 05/13/2024 and 05/31/24.  Grant recipients will be notified by 06/14/2024, but grant disbursment will not commence until the Fall of 2024.

   

Grant Application Materials

To apply, please complete the GSA Travel Grant Application and email it to the VP of Financial Affairs ([email protected]). You must also upload the following documents to the travel grant application.

  • Confirmation of your acceptance to present
  • An abstract of the paper/project to be presented
  • A receipt of conference registration fees (if available)
  • Hotel: if the receipt shows the room is booked for 2 people, only half the cost may be reimbursed
  • Gas reimbursements are based on mileage at $0.655 per mile (must send screenshot of Google maps with starting and end point showing number of miles driven)
  • no reimbursement for food
  • if your receipts are in a currency other than USD, you MUST provide conversion information in the form of a screenshot OR a bank/card statement reflecting this transaction in USD (as PDF)

Due Date for Final Documentation 

The GSA must receive all final documentation (receipts, proof of attendance, etc.) by the last day of the quarter for which the grant was requested. Any grants that do not receive all documentation by the end of the quarter will be revoked, and the corresponding funds will be rolled into the next quarter.

The GSA will reimburse you after you return from your conference with proof of your travel. Usually, GSA has allotted 45 grants per quarter.

Reimbursements will be processed using GradPoint via your BARC account. Funds should direct deposit to your bank account. Please make sure that your BARC account is set up for direct deposit!

Travel Grants for Conferences

Urc-sciences travel grant description.

The URC-Sciences Travel Grant supports UCLA undergraduates who have had their life science, physical science, or engineering research abstract accepted for an oral or poster presentation at a regional, national, or international conference. The research being presented does not need to have taken place at UCLA, but all applicants must be UCLA undergraduates at the time they conducted the research being presented and at the time of conference attendance. This grant is paid as a reimbursement after conference attendance. Applicants may be approved for up to $300 per academic year (July 1 – June 30). Students should only apply for this grant after their project has been accepted for presentation and after successfully registering for the conference.

We are only accepting Travel Grant Applications for students attending the National Conference on Undergraduate Research (NCUR) at this time. Applications are due four weeks before the conference start date. Funding is limited; students are encouraged to apply as far in advance as possible.

Approved applicants must submit all itemized receipts being claimed for reimbursement after the end of the conference. All expenses must be paid directly by the student to qualify for reimbursement. Expenses paid by a third party cannot be reimbursed. Eligible expenses include conference registration fees, economy-class airfare, hotel/lodging, ground transportation (including ride-share apps), mileage (distance traveled in personal vehicle only) and parking fees.

TRAVEL GRANT APPLICATION

  • We are only accepting Travel Grant Applications for students attending the National Conference on Undergraduate Research (NCUR) at this time.

Please complete the following DocuSign application . The application will require you to attach the following documents:

  • Faculty Research Mentor/Principal Investigator Evaluation Form
  • Accepted abstract/paper with your name in the author line
  • Official confirmation that your abstract/paper has been accepted by the conference for presentation
  • Completed conference registration materials & receipt
  • Unofficial transcript

APPLICATION GUIDELINES

  • Applications must be submitted four weeks prior to the conference start date.
  • Applicants must be UCLA undergraduates at the time they conducted the research being presented and during conference attendance.
  • Applicants are responsible for booking their own travel and payment.
  • This grant is paid as a reimbursement after conference attendance. A maximum of $300 may be awarded per student per fiscal year (July 1 – June 30).
  • If approved, awardees must submit required documents within five business days after the conference end date.

REIMBURSEMENT GUIDELINES

  • The following expenses are eligible for reimbursement: conference registration fees, economy-class airfare, hotel/lodging, ground transportation (including rideshare apps), mileage (distance traveled in a personal vehicle) and parking fees.
  • The following expenses are not eligible for reimbursement: membership fees, gasoline (gas costs are computed into the mileage reimbursement rate), prepaid packaged trips (combined airfare and hotel packages), meals and food purchases, poster printing, and any other expenses not eligible for reimbursement.
  • Student employees will be reimbursed using the same method that they receive payroll. Students not employed by UCLA will be reimbursed via Zelle.
  • Reimbursements will only be processed after the conference end date and after submission of required documents.
  • If costs are shared with additional travelers, travel grant awardees must obtain a separate bill for their own individual expenses.
  • Third-party reimbursements are not permitted – all expenses must be paid by the student directly. Expenses paid by a third-party (anyone other than the awardee) will not be reimbursed.

SUBMISSION OF REQUIRED DOCUMENTS

The following documentation must be submitted within five business days after the conference end date. Instructions on how to submit this documentation will be provided if your application is approved.

  • Photo of registration badge or other proof of conference attendance
  • Date of purchase
  • Traveler’s Name – if debit/credit card is used for payment
  • Description of what was purchased
  • Total cost of purchase
  • Method of Payment
  • A photocopy of the credit/debit cards used for payment or bank statements.

Biology Division of the Council for Undergraduate Research (CUR) Biology Travel Awards:

The Biology Division of the Council on Undergraduate Research (CUR) is offering a limited number of travel grants, up to $250 each, for undergraduate students presenting original research results at a regional or national, discipline-specific meeting during the fiscal year. Award recipients are required to acknowledge CUR for support of their travel in their talk or poster, to complete a short evaluation form about their meeting experience and to submit a PDF file of their poster. Minority students are encouraged to apply.

Eligibility Criteria:

  • Undergraduate student must be a junior or senior and travel must be completed within 3 months of graduation.
  • Student’s mentor must be a CUR member or the student’s home institution must be a CUR institutional member
  • Student’s home institution must provide at least a 50% match to support travel

Application materials:

  • Electronic application form to be completed by nominating faculty mentor. Please click here to access the form.
  • Reimbursement of travel expenses (up to $250) will require copies of receipts and confirmation of student’s attendance/presentation at the meeting.

Selection Criteria: Travel Award recipients will be chosen based on the scholarly merit of their abstract, which should include:

  • A sentence that clearly states the study’s OBJECTIVE (unless included in the title);
  • A brief statement of METHODS (if pertinent);
  • A summary of the RESULTS;
  • A statement of CONCLUSIONS (it is not acceptable to state “the results will be discussed”);
  • A statement of SIGNIFICANCE.

Deadline: Applications must be received by mid January for meetings held between February and June. Applicants will be notified four to six weeks after the deadline. See  additional details .

On a competitive basis, IEEE ICMLCN 2024 offers a number of grants to students or individuals who are financially limited. Eligible non-student applicants must be registered and co-author of an accepted peer-reviewed paper. Eligible student applicants must be registered and co-author of an accepted peer-reviewed paper, demo or student poster for the conference. The grants are possible through contributions from  IEEE ComSoc , and the KTH Royal Institute of Technology . These grants encourage participation by students or individuals who would normally find it difficult to attend. No more than one student or applicant per institution will be supported and they will receive only one possible grant (i.e. grant cumulation is not possible). These grants will enable sharing of scientific information and stimulating research interests for students and researchers in the field of communications and networking.

IEEE ICMLCN 2024 will provide three possible grants for application:

  • IEEE ComSoc Conference Travel Grants (CTG)
  • IEEE ComSoc Student Travel Grant
  • KTH Travel Grants

CONFERENCE TRAVEL GRANTS

Conference Travel Grants (CTG) is a newly established IEEE Communications Society (ComSoc) program, which provides partial financial support for participation in IEEE ComSoc conferences.

Applicant Eligibility

To be eligible for a CTG at ICMLCN 2024, an applicant must be:

  • An IEEE ComSoc member;
  • An ICMLCN 2024 participant; and
  • Unable to obtain sufficient substantial funding from your own institution or other sources, and forced to cover most of or all the associated expenses with your own funds.

How to apply for CTG?

An application for a grant should be submitted through EDAS at https://edas.info/G.php?g=785 .

After you have logged into EDAS, select the “ICMLCN 2024 Conference Travel Grant” to submit the application. The application must include the following materials in a single PDF file:

  • A statement that includes the reason for the trip and an estimate of the travel costs, attests that the applicant has not obtained any other funding for the trip, and explains the applicant’s financial need for the grant;
  • Short CV (1-page);
  • Country of residence and country of birth;
  • ComSoc member number; and
  • Accepted paper number (if any).

Non-compliant requests will not be considered.

Selection Process

A committee of volunteers will evaluate CTG applications. Applicants will be ranked in this order of decreasing priority:

  • GDP per capita of the country of residence/work;
  • Distance of the country of residence/work from the conference venue;
  • Paper/talk review evaluation.

The CTG will be paid as reimbursement after the conference and only if the goal of the request is achieved. An official award letter will be provided for both the ComSoc CTG and STG with information on how the travel reimbursement is processed after the conference.

A recipient of a CTG may not receive any other ComSoc grants for the same conference.

Depending on the number of eligible candidates, each conference travel grant at IEEE ICMLCN 2024 will have a minimum value of US$500 and a maximum value of US$850.

Important Dates

Ieee comsoc student grants.

IEEE ICMLCN 2024 offers a number of ComSoc grants to students who have co-authored an accepted peer-reviewed paper/demo/poster for the conference.  Each IEEE-sponsored grant is up to US$700 but no more than the actual travel expenses. 

  • Each applicant must be a Student Member or Graduate Student Member of the IEEE Communications Society at the time he/she applies for the grant;
  • Each applicant must be a co-author of an accepted paper in ICMLCN 2024 and present it at the conference;
  • Each applicant must be a full-time student registered toward a Bachelor, Masters, or PhD degree in computer science, engineering or related field in a college or university when submitting the application; and
  • During the expense reimbursement stage, the student applicant must show the proof of having registered to attend ICMLCN 2024.

A student who is awarded a student grant must register, attend and present the paper at the conference. An active IEEE ComSoc membership will be verified. Payment will only be made to grant recipients who submit the expense report (with receipts for expenses over US$25) within 45 days after the conference. An official award letter will be provided for both the ComSoc CTG and STG with information on how the travel reimbursement is processed after the conference.

How to apply for STG?

An application for a grant should be submitted through EDAS at https://edas.info/G.php?g=748 .

After you have logged into EDAS, select the “ICMLCN 2024 Student Conference Travel Grant” to submit the application. The application must include the following materials in a single PDF file:

  • Short CV (1-page), containing information about student status;
  • Accepted paper/demo/poster number (if any).

The KTH Digital Futures Research Center and the KTH Digitalisation Platform , referred to as KTH Travel Grants (KTG), provide partial financial support for participation in conferences.

The KTG will materialize by having the KTH EECS Service Center book the travel (airplane, train, etc) to the recipients.

A recipient of a KTG may not receive any other travel grants for the same conference.

UGAR Conference Grants: Guidelines

  • Applications must be submitted a minimum of two weeks before the conference and will be reviewed on a rolling basis.
  • Award notifications will be sent via email within two weeks after submission of a complete application (student application form and faculty endorsement).
  • Students are eligible for one Senior Conference Grant and one Undergraduate Conference Grant during their undergraduate years at Dartmouth. Students will be awarded one grant per conference – students may not apply for both grants for the same conference.

UGAR Senior Conference Grants

Up to $1000 for seniors to present their research at a national or international academic conference:

  • The research must have been conducted in collaboration with or under the supervision of a Dartmouth faculty member (college or professional school faculty)
  • The presentation can be a talk, poster, or other format, and the student can be an individual author or one of multiple authors on the project
  • The presentation must be at a national academic conference (e.g. Society for Neuroscience, the American Geophysical Union, American Astronomical Society)
  • Presentations at an undergraduate research conference held by another college/university are not eligible for these grants (but see Undergraduate Conference Grants below)
  • Only seniors are eligible, and this includes the summer before senior year
  • In some cases, grants may be awarded to students presenting research after graduation. The student must provide a compelling justification for the request, and the conference cannot take place more than 3 months after graduation. The student must apply for the funding at least 2 weeks before they graduate and the research must have been conducted primarily prior to graduation.

UGAR Undergraduate Conference Grants

Up to $500 for undergraduates to present their research at a national conference OR an undergraduate research conference:

  • Conference grants are awarded to students presenting research conducted in collaboration with or under the supervision of a Dartmouth faculty member (college or professional school faculty).
  • However, in special circumstances, funding may be awarded to students to attend a conference at which they are not presenting. In these cases, there must be a compelling justification for the request to be considered. Attending an academic conference would be beneficial for any undergraduate, so there must be an additional strong rationale. It is recommended that students meet with UGAR prior to submitting an application to discuss their circumstances and determine eligibility (see box on the left for the link to make an appointment).

  • Neukom Institute Travel Grants : For presenting research that involves computational techniques in any academic discipline
  • Leslie Center for the Humanities Student Professional Development Fellowships : for internships, conferences, workshops, or other professional development activity related to the humanities.
  • Irving Institute Student Grants for Professional/Educational Growth : funding to attend or present research at an academic conference
  • Academic departments: Some academic departments/programs have funding for students to present at conferences. Funding is generally restricted to majors. Contact individual departments/programs for information.

As much as we would like to fund everyone it simply is not possible. For this reason we include here information on travel grants by well known organizations.

Remember to first try to request a travel grant from your Educational University/Institute. You may be pleasantly surprised! They may know of a granting group of which we are unaware. Try also your local Chamber of Commerce and Local Authority. Listed below are a small number of additional groups which provide travel grants. Please always read carefully the application forms for funding groups. Some require traveling to a specific country, others require the student to be at a specific level of their studies whilst others still require the student to undertake study or research in a specific field.

Boehringer Ingelheim Fonds (BIF) (International)

The Boehringer Ingelheim Fonds awards Travel Grants to junior researchers who are currently conducting an experimental project in basic biomedical research and wish to pursue a short-term research stay or attend a practical course of up to 3 months.

Google Conference and Travel Scholarships

Scholarship eligibility varies by region, so please review the information on the region-specific tabs on the top. Scholarships will be awarded to the most qualified persons based on application review. Every applicant will be notified of their status according to the time frames specified for the region.

The World Academy Of Sciences (TWAS) Research Grants

TWAS funds several programmes that provide grants to researchers in some developing countries for specialized equipment, consumable supplies and Master of Science students. Individual scientists and research groups can apply for this grant.

Carlsberg Foundation Grants

The Carlsberg Foundation supports excellent basic research at the highest international level in the fields of natural science, social science and the humanities, carried out by Danish researchers and foreign researchers with a pre-established connection to Danish research environments.

This is a search tool that combines EU and British Council funds. It also incorporates funds available through the Newton Fund which is a fund supporting research collaboration with a selection of OECD countries. You can use this to identify opportunities but “read the small print”. Many are offered as part of a larger grant or scheme, rather than for individual student applications outside of this or, they conflate the eligibility criteria of postgraduate and postdoctoral.

Timothy S Y Lam Foundation Travel Grants

The Timothy S Y Lam Foundation recognizes the importance of attending professional conferences for continuing education. Travel grants allow those in the field to meet with other professional and speak about the industry. Attending industry conferences promotes fellowship and affords professionals access to educational seminars, networking opportunities, and research ideas.

ACM-W Scholarships for Attendance at Research Conferences

ACM-W provides support for women undergraduate and graduate students in Computer Science and related programs to attend research conferences. This exposure to the CS research world can encourage a student to continue on to the next level (Undergraduate to Graduate, Masters to Ph.D., Ph.D. to an industry or academic position).

Anita Borg Awards

The AnitaB.org Systers Pass It On Awards Program honors Anita Borg’s desire to create a network of women technologists helping one another. The cash award helps fund women in computing or projects that inspire and support girls and women to enter computing. We encourage recipients to “pass on” the benefits they gain from the award, creating a movement of women helping women.

Finding Research Funding: A Short Guide for Entomology Students and Recent Grads

Funding your graduate work out of your own pocket—in this economy? Absolutely not. We believe graduate work or research should never be funded through your own funds. Despite being a student, you arean employee , working for an institution (university) and an individual (principal investigator, or PI), and the outcomes of your work will belong to them. So, if you don’t own your work, why should you pay for it? This might sound obvious, but the reality is that costs sometimes do fall on students to advance their research, whether it be for much-needed supplies or for travel to conferences.

Ideally, your PI and mentors should want to support you in securing funding for your work, as you are an asset for their lab or workplace, and they want you to succeed. (That looks good for them, too!) Now, saying this is much easier than getting it done, of course. If you find yourself in need of funding to support your research as an entomology student, we hope the following info can help you navigate student funding sources that are available get some ideas flowing.

Research Funding: Where to Start

So, where do you go about finding grants as a graduate student? Well, first notice that different funding sources provide mechanisms that can sponsor different parts of your research. You are not expected to receive the funding that pays for all your research; you can complement the already existing infrastructure in your institution by obtaining additional funds for supplies, travel, or those extra work hours not covered through your teaching or research salary.

It might take some research to find funding for your research (see what we did there?), but there are some obvious places to start. For example, you can check out funding from people in your field: Perhaps a professor or collaborator knows about small graduate grants in the field that you are interested in. However, if you are just getting started in your program, you may not have a network to leverage yet. You can try a simple Google search, but that may lead you to random sites that can be difficult to determine the authenticity of. Here we thought it would be great to do part of this job for you and provide some examples of funding sources you might want to explore:

You may also be able to find additional funding within your institution. It can be quite daunting to navigate these funding opportunities, but some R1 universities have research grant opportunities that offer $5,000 to $10,000 to perform research specific to graduate and sometimes undergraduate students. The best way to find out is to search for the Office of Research at your institution or contact the graduate school, which can provide more information on the opportunities and submission deadlines.

How to Apply for Research Funding

Tips for grant-writing. Applying for research grants is intimidating at first, and it can be overwhelming to try to convey your idea and why the funding is important, all in a one-page limit. Of course, every detail on your project matters, but learning how to deliver the really important part(s) is what makes an application get funded. Your application may be reviewed not by experts in yourfield but rather by more generalist researchers; thus, some details that may be important to you will not mean much to them. Reviewers will also know that, no matter what, you have support from your mentorship team to successfully achieve your goals. So, what does a reviewer want in your application?

You want to convince the person reading the proposal that your research is, one, innovative —i.e., that it brings some novel methodology or uses an approach in a way that was not used before—and, two, significant —i.e., that your research will solve an important concern or otherwise impact a particular community. It’s also important to provide the reader with information smoothly, rather than making them go back and forth through the application trying to figure out what you might be talking about. In other words, be clear and organized and avoid assuming they know what you are trying to say. Bold, underline, and italics are there to be used! Similarly, bullets, headers, and section titles can help organize information in shorter, more “digestible” chunks. In addition to formatting, some submissions allow for figures, tables, graphs, and photographs, which can often provide information in a more powerful way than just text.

What if I don’t get funded? Unfortunately, we all have experienced this at some point in our career. (If not, you will.)Despite putting so much effort into applying for grant funding, rejection is simply a part of competition. This can be extremely frustrating when you have little experience in grant writing, applying took so much of your time and effort, and you need the funding to do your research. But don’t give up! This is the best way to get better at grant writing. Continue to apply, re-work your proposals, get feedback, and submit again, as this experience will be excellent practice and a way to hone your skills. Ask for feedback every time, from people within and outside your field, if possible. If you get any comments from the funding institution, read them, discuss them with your PI, and figure out how best to approach the next application deadline. Having a grant application as a student looks amazing on your CV, even if you don’t get funded. Just remember that the only way to excel at it is practice, and you can only get funded if you apply for it!

What about citizen status? Be sure to consider citizenship eligibility when applying. If you are not a U.S. citizen, you may not be eligible for some funding opportunities. You may be able to find alternative funding through national grants from your home country, but these may not always be available to pursue research while in the U.S. Make sure to read the opportunities carefully, and reach out to the International Student Services and Registrar at your university for any questions.

More Funding Options: Travel Stipends, Fellowships, Institution Awards and Beyond

Perhaps you are not looking for additional research funding, or perhaps the sponsorship you need is related to your tuition, travel, additional training, or salary. Here are some other funding options you may want to consider when looking for financial support:

Scholarships and fellowships. These are primarily university-specific: Did you know that many graduate schools have small travel grants for graduate students to attend conferences and present research? What other additional funding sources are available at your institution? Unfortunately, the mantra is commonly “those who show they have money will get more money.” So, we encourage everyone to apply to all (if any) opportunities available. Even $1,000 can be extremely helpful for alleviating conference travel expenses or even boosting your CV for additional applications.

Other questions to consider:

  • Does your school or department sponsor students for conferences?
  • Does your school or department reward publications? Speak with your department chair about any possible department-level avenues of funding for students.
  • Does your institution have a student competition for research presentations? Although this may feel like a “small pond” compared to a national conference, pursuing these local avenues of money can also earn you additional practice in communicating your science or submitting your research.

Travel stipends. In addition to your institution supporting students with travel stipends, the conference you are interested in attending may have travel awards. Two great examples are the American Mosquito Control Association Industry Shadowing Program and the Entomological Society of America Student Travel Awards . These are competitive, small travel grants to increase graduate student attendance to these conferences for networking, learning, about the industry, presenting research.

And these are not the only examples. Many smaller, regional meetings also have these types of stipends. Look for these and their application deadlines far in advance so you don’t miss the deadline. Although sometimes they do not cover the entire expense for traveling to the conference and lodging, they can be a great way to cover at least some of your travel. Talk with your PI to discuss matching the funding or covering the rest of the expenses or complementing them with university or institutional awards.

Collaborations. Another way to potentially find some financial support is collaborating with your local health department or similar institution. This is specifically geared toward students who have a public health spin to their research. Some health departments can receive funding from Centers for Disease Control and Prevention, called “Expanding Laboratory Capacity” funding, to expand their surveillance efforts, which could include vector surveillance or related work. You can also collaborate with other organizations such as USDA, private industry, museums, or other institutions within the entomology workforce that may have some available resources to use for research. If you can, use this data or collaborate with these individuals through joint trapping, insecticide resistance work, testing for pathogens, and so on. (Get creative!) Done right, this could save you some money in other aspects of your research.

Trainings. Training opportunities other than school and degrees are also avenues that have funded openings. Earning your degree at your institution is not the only way to become trained in entomology. There are many smaller certification or training opportunities offered across the country to help bolster the entomology workforce, and they may offer travel funding or they could be eligible for travel funding from other sources. Just a few examples include:

  • The U.S. National Tick Collection Tick Workshop , Georgia Southern University
  • Mosquito Identification and Certification Course , University of Florida
  • Master Beekeeping certificate , Cornell University
  • Entomology for the Naturalist , Clemson University
  • ESA Certification Programs

Some Words of Encouragement

Yes, this was a lot of information, and the examples and lists of potential funding sources is most definitely not exhaustive. There are more out there, but we believe this is a good way to start. We highly encourage you to go out there and apply! If we hadn’t applied to the various funding opportunities in the past, we would not have received them. Talk with other students, your advisor, other professors or mentors for ideas—the opportunities are out there. Remember that you won’t be successful without putting yourself and your ideas out in the science world, literally and figuratively, through applications. You can only get better by applying. And not being selected for funding is not a failure; it’s just an opportunity to hone your skills and make yourself a better scientist. We hope this information was helpful, encouraging, and at least a little entertaining. Go out there and science—and have someone else pay for it!

The Social Responsibilities Round Table (SRRT) of the American Library Association has named Emma K. McNamara and Don Michael Jr. as the 2024 winners of the SRRT Conference Travel Grants to attend the upcoming 2024 ALA Annual Conference in San Diego.

The SRRT Conference Travel Grants sponsored by the Social Responsibilities Round Table help finance SRRT member attendance at the ALA Annual Conference. The $1000 award covers limited fees related to airfare, lodging, and conference registration. SRRT funds up to two applicants per year. 

Emma K. McNamara is completing a doctorate at Ohio State University focusing on representations of girlhood, feminist narratology, genre theory, and young adult romance. She has master’s degrees in Secondary English Education and Children’s Literature from the University of the District of Columbia and Simmons College, respectively, and is dually certified in Culturally Responsive Literature Instruction from Harvard Graduate School of Education. She is an adjunct instructor in her hometown at the University of the District of Columbia. She is the chair of the Virginia Hamilton Award for Lifetime Achievement, the coordinator of YALSA's Quick Picks for Reluctant Readers, the 15+ reading group facilitator for Capitol Choices, the Vice President of the Graduate Student and Contingent Faculty Caucus for the International Society for the Study of Narrative, and a member of the Children’s Literature Association Article Award Committee. She has published essays about Gossip Girl, Harriet the Spy, and urban theory, and is a reviewer for Kirkus and Children’s Books Ireland.

Don Michael Jr. is the Digital Literacy Specialist for Central Piedmont Community College’s Library Instructional and Research Services department. He manages the Digital Literacy Learning Space (DLLS), which serves all six campuses with Piedmont's first centralized student technology training support for both basic digital literacy and workforce digital literacy training needs. Don has been a 9-12 certified teacher in the states of Connecticut and North Carolina, in the areas of vocational graphic communications and digital design. Before transferring to Central Piedmont's library, he worked for seven years in the Information Technology Services department as a senior program manager. He also serves on the Charlotte, NC-based community committee, The Queen’s University Center for Digital Equity. A few of Don’s servant-leader contributions are his alumni cohort for the Institute of Emerging Issues, participation as a think tank cohort for the Transatlantic Cities of Tomorrow - American Council on Germany from 2019 to 2023 and also being selected by the Association of American Colleges and Universities as a digital equity campus coach for their Institute on Digital Equity from 2023 to 2024. He holds a Learning Technology Management Certificate from Educause and an MFA from the University of Wisconsin, Madison. He recently joined the ALA’s Social Responsibility Round Table’s Action Council (SRRT-AC) for the period 2023-2025.

The Social Responsibilities Round Tables (SRRT) is a unit within the American Library Association. It works to make ALA more democratic and to establish progressive priorities not only for the Association but also for the entire profession. Concern for human and economic rights was an important element in the founding of SRRT and remains an urgent concern today. SRRT believes that libraries and librarians must recognize and help solve social problems and inequities to carry out their mandate to work for the common good and bolster democracy.

About the Conference

The conference was founded in 1987 and is now a multi-track interdisciplinary annual meeting that includes invited talks, demonstrations, symposia, and oral and poster presentations of refereed papers. Along with the conference is a professional exposition focusing on machine learning in practice, a series of tutorials, and topical workshops that provide a less formal setting for the exchange of ideas.

Title : Active carbons as nanoporous materials for solving of environmental problems

However, up to now, the main carriers of catalytic additives have been mineral sorbents: silica gels, alumogels. This is obviously due to the fact that they consist of pure homogeneous components SiO2 and Al2O3, respectively. It is generally known that impurities, especially the ash elements, are catalytic poisons that reduce the effectiveness of the catalyst. Therefore, carbon sorbents with 5-15% by weight of ash elements in their composition are not used in the above mentioned technologies. However, in such an important field as a gas-mask technique, carbon sorbents (active carbons) are carriers of catalytic additives, providing effective protection of a person against any types of potent poisonous substances (PPS). In ESPE “JSC "Neorganika" there has been developed the technology of unique ashless spherical carbon carrier-catalysts by the method of liquid forming of furfural copolymers with subsequent gas-vapor activation, brand PAC. Active carbons PAC have 100% qualitative characteristics of the three main properties of carbon sorbents: strength - 100%, the proportion of sorbing pores in the pore space – 100%, purity - 100% (ash content is close to zero). A particularly outstanding feature of active PAC carbons is their uniquely high mechanical compressive strength of 740 ± 40 MPa, which is 3-7 times larger than that of  such materials as granite, quartzite, electric coal, and is comparable to the value for cast iron - 400-1000 MPa. This allows the PAC to operate under severe conditions in moving and fluidized beds.  Obviously, it is time to actively develop catalysts based on PAC sorbents for oil refining, petrochemicals, gas processing and various technologies of organic synthesis.

Victor M. Mukhin was born in 1946 in the town of Orsk, Russia. In 1970 he graduated the Technological Institute in Leningrad. Victor M. Mukhin was directed to work to the scientific-industrial organization "Neorganika" (Elektrostal, Moscow region) where he is working during 47 years, at present as the head of the laboratory of carbon sorbents.     Victor M. Mukhin defended a Ph. D. thesis and a doctoral thesis at the Mendeleev University of Chemical Technology of Russia (in 1979 and 1997 accordingly). Professor of Mendeleev University of Chemical Technology of Russia. Scientific interests: production, investigation and application of active carbons, technological and ecological carbon-adsorptive processes, environmental protection, production of ecologically clean food.
