Questions About College Study Abroad

Put simply, study abroad is when a student pursues their academic goals in a foreign country. By studying abroad, students learn more about different cultures, languages, people, and more, transforming their global perspective and cultural understanding.

Studying abroad can be as cheap or expensive as you want it to be, but in general, the cost to study abroad can range anywhere from $3,650 for January programs to $19,968 or more for semester programs . The cost of studying abroad varies depending on several factors, including:

  • Program type
  • Length of study

While the cost of study abroad programs for college students is constantly changing, CIEE program fees typically include all essentials outside of airfare and meals. This typically includes tuition, housing, pre-departure advising, orientation, on-side staff and 24/7 emergency support, cultural activities, and travel protection. While the length of your study abroad program varies based on your study abroad program provider, CIEE offers four different study abroad program durations:

  • Semester Programs:  Fall or spring semester study abroad programs typically last 15-17 weeks.
  • Summer Programs:  A single summer session lasts four weeks, but students can choose to enroll in one, two, or three consecutive sessions for a full summer abroad.
  • January Programs:  January study abroad programs are typically between two and three weeks long.
  • Open Campus Block Programs:  Open Campus Block programs allow students to design their own custom study abroad programs that last for six, 12, or up to 18 consecutive weeks.

Yes! Students who study with CIEE can earn college credit abroad for specific courses they take. We recommend that students check with their campus study abroad office prior to leaving for their program to ensure that course credits can be counted.

How to Travel as a College Student

I love to travel. I've said to many people that my travels are my "anti-drug." That's the way things really are. Nothing is more fun than visiting a new place and getting to know a new city. When I graduated from high school and went to college, I vowed to travel whenever I could.

Looking back at my college years, I successfully did that. As an undergrad, I visited several cities, such as  Miami , NYC, Las Vegas, and Nashville. People would ask me, "Aren't college students supposed to be broke?" In today's post, I discuss different ways to travel as a college student. It's going to be easier than you thought. Participating in illegal activities was not one of them! Cheap student travel can happen.

Stay With Friends or Family

The 1st way to travel as a college student was to stay with family or friends. On some of the trips that I went on, I stayed with friends. I was there if they had an extra couch or decent floor space. I easily saved a couple of hundred dollars by doing that. It took the stress out of trying to find a hotel or other lodging place.

Use Some of Your Student Refund

We're up to number three on the list of how to travel as a college student. I will be the first to say I never purchased a car or expensive clothes with my student refund. However, I did use some of my refund for a few trips. There may be better decisions than this, especially if your refund is student loan money. You will eventually have to pay back. Just keeping it real, some of my refund was from  student loans . I don't regret using it to travel at all. It allowed me to see other cities besides Atlanta and  Savannah . My comfort zone expanded because of that. I'm sure the same will happen to you. Just spend your refund sparingly.

Work a PT Job

I worked a part-time job during the majority of my college days. At one of my jobs, I was a busser at a restaurant. I made GREAT money there. After I had paid a couple of bills I had each month, I saved a decent amount for travel. A couple of road trips and fraternity conferences were paid for with that money. The crazy thing was that I didn't get a car until the summer before my senior year. I found several ways to get to that job before then.

Travel as a Group

The most common way I saved money was to travel with a group. There were numerous road trips where 4-5 of us would pile into someone's car and split the gas and hotel charges. If we knew someone that lived in the city that we were visiting, we would save even more money by just having to pay for gas. Numerous road trips cost less than $60 per person because of this strategy.

If you're going to do group travel, make sure that you and the people you're traveling with are on one accord. Out of all the group trips I've been on, I only had one that started badly. To keep it short, I will say that I had to book a room at another hotel to keep people from potentially fighting. Most of the group came with me, while three stayed at the original hotel. Once we separated from them, the trip turned out great.

Study Abroad Program

 Studying abroad is an excellent way for college students to gain new experiences, meet new people, and travel the world. By participating in a study abroad program, you can earn a global perspective on your studies in college, experience new cultures and lifestyles, and develop valuable skills that will help you in your career.

The way it works is that you apply for a study abroad program through your college or university. The application may be required to include letters of recommendation from faculty members, an essay describing why you want to participate in the program, and a statement of financial resources. Once accepted into the program, you will typically work with a study abroad advisor who will help you with your travel details, such as the logistics of flights and accommodations.

Backpacking your way through another country is a great way to see the sights and experience new cultures firsthand. One of the benefits is that you will have more freedom to explore on your own and decide where to go and what to do, depending on your interests and preferences. There are many ways to backpack – from backpacking across Europe using the Eurail pass to taking a tour of national parks in the United States to trekking through a remote country on foot.

Remember that you will need to be flexible and adaptable to travel on a backpacker's budget . You may need to stay in inexpensive hostels or guesthouses or camp outdoors in a tent. If you plan to go backpacking on your own, you should have some basic survival skills, such as knowing how to read a map, set up camp, and find your way in the wilderness.

Hostels are another popular way for college students to travel affordably. These accommodations typically offer rooms where you share a bathroom with other guests or dorm-style accommodations with bunk beds. There are common areas where you can hang out, meet fellow travelers, or even work on your laptop.

Although there are many benefits to staying in hostels, such as low cost and social opportunities, it is essential to research before you book a room. For example, consider the hostel's location and whether it is safe for women travelers. Also, find out what amenities are offered – for example, many hostels will have a shared kitchen where you can cook your own meals.

Exchange Progam

Another popular way for college students to travel is through an exchange program. This program allows you to study at a foreign university while paying your regular tuition at your home university. There are typically exchange programs through student organizations or universities themselves.

If you decide to participate in an exchange program, you will need to work with your college or university to get approved for the program. You will typically need to pass a test of your language skills, provide a statement of financial resources, and meet other requirements depending on the program.

Volunteer Abroad

If you have a strong interest in volunteering abroad, many organizations can help you find volunteer opportunities. These types of programs may take place in foreign countries for periods of a week or longer.

When you volunteer abroad, you typically work with local organizations and communities to help with various projects. For example, you may help to construct houses, teach English in schools, mentor children, or work on agricultural projects.

While participating in a volunteer program can be very rewarding, it is essential to do research before signing up for one. Consider what type of project you would like to work on and ensure that your skills match the program's needs. Also, find out what training or support will be offered and what steps you need to take to get started.

College. A time of limited funds, cheap food, and stressful all-nighters. While school is a time for education, I find that one of the best ways to learn is by traveling. And, believe it or not, there are many ways you can travel as a student , even if you don’t come from a filthy rich family (as many people presume) .

I won’t say I wasn’t privileged in my ability to travel as a student. I was able to live at home throughout my university degree (even though my 1.5 hour commute killed me) , which did save me a lot of money. But I also worked hard and saved money for years to afford my travels, and I want to share some of my tips (and more) with you today.

My Experience as a Traveling College Student

Before I provide you with all the best tips and tricks on how to travel as a student, I first want to share my own experiences.

Now, to preface this, I worked a lot in high school. And I barely spent any of my income. While I wasn’t intentionally saving up to travel, I had no interest in buying anything, so all the money I had made from my part-time jobs was simply building up in my bank account.

So, after my first year of college, I decided to take the leap with my high school savings, and spent a month backpacking Europe on my own . It was my first solo travel experience, and it was beyond incredible. I walked a portion of the Camino de Santiago, relaxed on the Algarvian beaches of Portugal , toured several cities in Spain including Seville and Barcelona , and went to an Eddie Vedder concert in Berlin.

However, I maintained a strict budget to keep my backpacking cost low. I rarely ate out, never drank alcohol, spent most of my time walking everywhere , and booked the cheapest hostels.

Later that summer, I embarked on another trip, taking a small vacation to Oahu with a couple of friends. While Hawaii has a reputation of being expensive, we also traveled as cheaply as possible , staying in hostels, not drinking (we weren’t even of legal age in the US yet), and sticking with free activities like hiking .

Nevertheless, it was amazing.

I traveled two more times during my university degree (other than the occasional weekend getaway from Vancouver ): I spent one reading break (a one-week vacation in February) visiting a friend in Montreal. I also spent over a year saving for another spectacular solo backpacking trip, this time around Asia . With stops in Vietnam , Cambodia , Thailand , Japan , and even a few days in Hawaii, I loved every minute of it.

Overall, I have never regretted the sacrifices I have made for travel. And, if you’re planning on traveling as a college student as well, I hope you feel the same way!

The Different Ways You Can Travel as a Student

Now, onto the reason why you clicked on this article. What are the best ways to travel as a student?

Study Abroad

Now, the most obvious answer to this question is to study abroad! While I personally never did a semester abroad, I wish I had.

Studying abroad, whether for a semester or a year, is an amazing way to visit new places and travel as a college student, while simultaneously working towards your degree. With most universities offering study abroad programs, doing a study abroad is also very accessible.

That’s not to say studying abroad is cheap. The costs can add up, with flights, visas, and accommodations bearing a heavy price tag. However, depending on where you currently live and where you’re planning to study abroad, you may end up paying an equal amount of money to travel, or even less.

Overall, my advice for those who wish to study abroad is to plan ahead (especially in regards to your courses!), choose your destination wisely, start saving money early, look into several college student travel programs, and research financial aid and scholarships!

Semester at Sea

Similar to doing a study abroad, you can also sign up for the Semester at Sea program . Accredited through Colorado State University, doing a Semester at Sea is like doing a semester abroad, but more unique, as you live aboard a ship sailing to multiple destinations (across multiple continents).

As incredible as this experience sounds, it isn’t cheap. The Semester at Sea cost is around $27,000 to $33,000 USD for room, tuition, health insurance, and food. Adding in the costs of flights, visas, textbooks, vaccinations, and more, and you’ll probably pay around $36,000 to $41,000 USD for a semester. Ouch.

So, while there are several scholarships offered, doing a Semester at Sea may be one of the programs only available for the wealthy traveling college students. But hey, if you know of a way to do it without amassing a large pile of debt, let me know!

Volunteer Abroad

Another way you can travel as a student is by volunteering abroad. While there are many programs out there, quite a few of them are corrupt (especially in regards to volunteering in developing countries). So, I recommend researching the programs well before applying.

Nevertheless, there are three big organizations perfect for volunteering abroad: WWOOF , Workaway , and Worldpackers .

First, one of the biggest volunteer abroad programs is WWOOF (World Wide Opportunities on Organic Farms), where you work on a farm in exchange for room and board.

There are some great advantages with using WWOOF, as they offer opportunities to volunteer all around the world. Additionally, as a WWOOFer, you are given the opportunity to form in-depth connections with locals, providing you with a more educational experience, perfect for college student travel.

However, there are some cons to using WWOOF. For instance, as each WWOOF organization is separate and independent from one another, you have to pay separate sign-up fees for each country.

Additionally, some WWOOF farmers do exploit you for free labor (I personally considered signing up for WWOOF Japan , but read concerning reviews in regards to this phenomenon). My recommendation is to research the WWOOF volunteer opportunities well, and to choose a farmer with stellar reviews!

Overall, WWOOF is a great option for those keen on traveling the world on a budget.

Another trustworthy organization to consider is Workaway .

An international program, Workaway connects you with a host who offers room and board in exchange for work, whether it be working on a farm, hostel, construction, English lessons, etc. With an easy-to-navigate website and tons of volunteer opportunities, Workaway is definitely worth checking out!

Worldpackers

Finally, the last organization I’m going to recommend for volunteering abroad is Worldpackers .

A trustworthy platform connecting you with hosts around the world, you once again exchange your labor and skills for accommodation. With opportunities to teach English, work on a farm, do general labor, become a nanny, and volunteer in a hostel, Worldpackers is one of the best places to find hosts.

Work Abroad

While volunteering abroad is a great way to travel the world on a budget, you can also take it one step further, and actively make money while traveling! There are a many different ways to work abroad , each with their own advantages and disadvantages.

These options include:

Working Holiday Visa

First, you can get a working holiday visa. With the ability to spend up to one year working and living abroad, getting the visa is the perfect way to spend a gap year, or your summer vacation!

With many countries offering working holiday visas, from Australia, Canada , the UK, Denmark, France , Hong Kong, Japan , New Zealand, Argentina, and more, your travel options are truly endless.

If you’re looking for a more specific job position, consider becoming an au pair! The perfect role for those who love children, an au pair is someone from overseas who takes care of a host’s children and a few household chores, in exchange for room, board, and some extra cash.

While this job isn’t for everyone (especially me… I’m not great with kids) , becoming an au pair can be a great way to travel, learn about the lives of locals, and make a bit of money.

Couchsurfing

Now, if you’re not keen on studying, volunteering, or working abroad, there are still ways to travel as a student. For one, you can try Couchsurfing .

While I’ve personally never couchsurfed, Couchsurfing.com is a massive platform that essentially offers free accommodations for budget backpackers around the world. Simply put, the site is filled with friendly people, offering travelers a place to stay in their homes.

But Couchsurfing offers a lot more than just a free bed. It offers cultural exchanges, allowing you to immerse yourself into the lives of local people. It allows you to make new friends, form new connections, and learn insider tips on the destinations you’re visiting.

Overall, I definitely recommend looking into Couchsurfing if you want to save money on accommodation, and love meeting new people. But, to stay safe, I recommend only choosing hosts with stellar reviews.

Pet/House-Sitting

Another way to receive free accommodations (while simultaneously spending quality time with adorable animals) is by house-sitting!

Perfect for long-term travel (say, a summer vacation), house-sitting is when you watch over someone’s house (and pets) in exchange for free accommodation.

In my opinion, house-sitting is the best way to travel as a student. With the ability to explore one area in-depth, live like a local, save lots of money on accommodation, and cuddle with an adorable animal, what more can you ask for?

How to Save Money for Travel

While I’ve listed all the ways you can travel as a student, from couchsurfing, house-sitting, and studying, working, and volunteering abroad, that still leaves the cost of traveling. No matter what, taking that vacation is still expensive, with the costs of flights, visas, vaccinations, and souvenirs adding up.

So, if you’re wondering how to travel the world on a budget , keep reading for my best travel tips!

Buy Your Airplane Tickets at the Optimal Time

While this may not be possible, I highly recommend buying your tickets early, but not too early. Before you get too irritated, let me elaborate.

While there is some debate on the best time to buy airplane tickets, the general consensus is this: for domestic flights (within the US ), it’s best to purchase 76 days before departure. However, this number does fluctuate per season (for instance, it’s usually best to book a summer vacation 99 days in advance).

In regards to international flights, the best time to purchase fluctuates per destination, but in general, I recommend buying tickets at least 3 months in advance.

Some additional tips for booking flights is to search for flights on incognito mode. Additionally, be flexible with the day you depart (as this can greatly impact the cost). And, while some say it’s best to book on a Tuesday, I find that this isn’t always true. I recommend checking the prices of the flights daily to find the best bargain.

Select Your Destinations Carefully

While this may seem obvious, I have to say it: some destinations are way more expensive than others.

By choosing your destinations wisely, you can save heaps of money on travel. And while you may be bummed you can’t go on that skiing trip in Switzerland or take that luxury vacation to Dubai, you’ll be shocked at how beautiful some of the cheapest backpacking destinations are.

My recommendations for the most inexpensive and best places to travel as a college student are the following:

  • Southeast Asia : With some of the cheapest Asian destinations, I especially recommend visiting Indonesia, the Philippines, Vietnam , Laos, Thailand , and Cambodia (especially the Angkor Wat ruins in Siem Reap !).
  • Eastern Europe : If you’re wondering how to travel on a budget in Europe, I recommend visiting locations like the Ukraine, Bulgaria, and Romania.
  • Central America : Filled with beautiful locations, I definitely recommend checking out Mexico, Guatemala, and Nicaragua.
  • South America : Overall, it’s very easy to travel South America on a budget, especially if you visit countries like Bolivia, Columbia, Ecuador , Chile, and Peru.

Create Free Stopovers

The best way to travel to multiple destinations at no extra cost is to create free stopovers.

I personally did this on my flight from Japan to Canada . Once I noticed that the cheapest flight included a layover in Honolulu, I decided to extend that stopover (at no extra cost) to three days, and spent that time hiking the North Shore !

So, if you notice your flight has a layover, try extending it, and spend that time exploring a new destination. It’s one of the best hacks for traveling in college!

How to Save Money While You Travel as a Student

Finally, let’s talk about how you can travel on a budget, so you can stretch your limited funds as far as possible. While I have already written an article on how to travel without breaking the bank , here’s a summary of my best budget travel tips:

  • Use Student Discounts : One of the biggest perks of traveling as a student are the student discounts. From museums, art galleries, attractions, and more, always make sure to check for student discounts!
  • Find Cheap or Free Activities : One of the reasons why I love hiking and walking around new cities is because they’re free. By opting for the free or cheap activities, you can save a lot of money by the end of your trip. (And hey, if you’re a beginner hiker looking for some tips, click here for my article on the 15 essential beginner hiking tips! ).
  • Avoid Eating Out : While it’s okay to splurge on some delicious local food every once in a while, constantly eating out can really add up. By buying your own groceries and cooking your own food, you can save a lot of money in the long run!
  • Skip the Drinks : Even more expensive than constantly going to restaurants are opting for the alcoholic drinks. Once again, it’s totally fine to splurge every once in a while, but if you really want to stretch your dollar, it’s best to skip them when you can.

  • Use Public Transportation (or better yet, walk !)
  • Book Overnight Transportation : A way to combine transportation and accommodation, booking an overnight train, bus, or airplane can help you save some money (perhaps at the expense of your comfort).

While travel may seem like an impossibility while you’re still in school, there are so many ways to find cheap vacations for college students! All in all, I hope this article inspired and helped you figure out new ways to travel.

Volunteers on Childcare projects provide assistance in a range of placements and environments, ranging from after-school programs, day care centers and community centers. As a university student, you have the opportunity to be involved with various duties to support the functioning of these centers, that will in turn assist in your personal and professional development.

Duties can include educational support, playing games, mentoring, providing attention, cooking, cleaning and assisting with general daily operations. Duties are dependent on the specific placement but the most important aspect is supplying the children with care, attention and love. I chose this particular project because the description mentioned something along the lines of how these kids/people really just need some love and attention. And for sure, that’s exactly what they needed. It was perfectly suited to what I was hoping to get out of it. It was genuinely worthwhile for the community. Because I personally care about those people now, I want them to have more volunteers spending time with them! Though it sounds cliche, I was inspired by the kids themselves. Going off to college or university can be an exciting time of life, with many new experiences to be had and new places to explore.

For those who plan to travel during school — be it for a study abroad program, an alternative spring break, a fun trip with friends or just to head home during school breaks — the cost of flying can be prohibitive. However, a number of airlines offer special deals on student flights to make travel more accessible.

Here is a list of airlines that offer student flight discounts for young people traveling around North America and beyond.

Instead of offering discounts on individual tickets, Air Canada offers a Student Flight Pass for students traveling frequently within the Americas. It also offers an International Student Flight Pass for those planning to travel frequently with more distant destinations.

You can either buy a pass outright or pay it off over nine months (with interest). The pass, coupled with your Aeroplan frequent flyer account number, scores you four to six flight credits (depending on the destination) to use over a specified amount of time, usually 12-15 months. You will have to choose a specific zone in which to fly (like the Western U.S., Alberta or Brazil).

One credit is valid for one one-way flight.

Make sure the pass covers travel to and from your preferred destinations. You will need to plan to fly with Air Canada at least as many times as your pass is good for or the investment won’t be worth it.

You have to be a student in one of the airline’s participating regions (which includes the U.S. and Canada) and traveling out of specific airports to take advantage of Cathay Pacific’s student flight discounts.

Eligible student travelers will:

Get access to exclusive fares to some destinations and select fare categories.

An extra baggage allowance.

Free flight changes for Flex fare classes.

Exclusive rates for Light and Essential classes.

The discount is good for one-way and round-trip flights to specific destinations, plus it can be used to book a seat in economy, economy plus or business class.

Just remember to include your Cathay number on your booking, use the relevant discount code listed online and bring a valid form of student ID when you check in at the airport or you won’t get the discount.

There are limited booking windows for flight discounts for students on Cathay Pacific (for example, in 2024, you must book by April 4 for travel through April 2025 if flying out of the U.S. or Canada).

Before you book, check the website for more details and keep an eye out for future dates.

Air France works a little differently when it comes to cheap flights for students. You’ll still have to prove that you’re a student with a valid student card, proof of enrollment or an admission letter at check-in, but you’ll mostly search for flights on the website as usual — except under “passengers,” make sure to select “student.”

When flight results appear, the student rate, if it’s available, will be in the first column. Prices will vary, but on the upside, the student rate always gets two free checked bags, and you’ll be able to change your flight for no additional fee.

Many eligible trips have to be at least 21 days long; however, there are a few flight options from France to specific destinations that have to be only seven days long.

Unlike with most airlines, the discount offered by Iberia is open to anyone under 30, even if you’re not a student (with additional benefits for those studying abroad).

If that’s you, check to see if Iberia Joven, the discount program for students, offers flights to where you’re headed. If it does, you may be able to score a 10% discount on certain flights and an extra free checked bag if you’re studying abroad.

Just make sure you book on the Iberia Joven site specifically, and know that not all routes are included and the discount is only for the lowest economy fares.

Lufthansa also offers flight discounts for students who book on the airline website. The discounts are valid only for certain flights from select countries, but in addition to fare savings on travel that qualifies, students get more checked baggage allowances and flexible booking.

To take advantage of these fares, you have to be at least 16 and enrolled in some sort of higher education. You'll have to verify your status as a student on the airline website. Then, when you search for fares, just remember to select “Student” to see any applicable discounts.

If you’re a student flying on Turkish Airlines, whether or not you’re a Turkish citizen, you can get up to a 20% discount on domestic flights within Turkey and 15% on international flights.

Students also enjoy a 40-kilogram baggage allowance (about 88 pounds) on flights that charge by weight and two 23-kilogram (about 50-pound) bags on flights that charge by piece. Students get free one-time flight changes for international flights, plus 25% more miles credited to your Miles&Smiles account when you fly before the end of 2024.

To get the discount, verify that you’re a student in the “Discount Types” section on the “My Personal Information” page in your Miles&Smiles loyalty account. Then just select the “Student” passenger option when searching for and booking flights.

Students flying to Emirates’ 250 destinations can score up to a 10% discount on economy and business class fares, plus an extra 10 kilograms (about 22 pounds) or an extra piece of luggage (except when flying to the U.S. or Canada).

Use code STUDENT in the promotional code box to book, then make sure you bring proof that you’re a student to check in.

This special is available only to students ages 16 to 31, and as of this writing, you have to book by March 31, 2024. Act fast and keep an eye on the airline for future deals if you’re a student planning travel to one of Emirates’ destinations.

Students flying on Singapore Airlines can enjoy a 10% discount on Lite, Value or Standard fares in economy class or premium economy class. They also get an extra luggage allowance, which is based on destination, and waived change fees the first time they need to alter their flight.

To enjoy these perks, first join the airline’s KrisFlyer loyalty program . Then you’ll be asked to verify that you’re a student, which you’ll need to do once a year. Then, when it’s time to search for flights, log in and do so on the airline’s dedicated student page. If you are younger than 16, you will not be able to verify your student status online.

SAS offers discounts not just for students, but youth in general, which includes individuals ages 12 to 25. The availability of these discounted fares on any particular flight is limited, and it’s reserved for SAS Go (standard economy) bookings for specific fare classes.

While no student ID is required, travelers will need to prove their age, so make sure to bring along a valid ID. Keep in mind that unaccompanied minors cannot book an SAS Youth Ticket.

There aren’t a lot of extra perks that accompany a Youth Ticket, and SAS doesn’t state how much you can save, but it’s worth searching to find out.

If you’re a student enrolled in higher education ages 18 to 30 and planning travel to any of Qatar Airways’ many destinations, it’s likely worth it to join the airline’s Student Club.

You’ll have to enroll online and share passport and university details, but once you do, you’ll be provided with a unique code to use during booking that will net you a discount.

That code will score you a 10% discount on your first flight, after which you’ll receive a new code for a 15% discount on your second booking and 25% off your third.

Students also get an additional baggage allowance, one complimentary date change for a booked flight and free Super Wi-Fi when you book on the airline website.

You can even fast-track your elite status once you graduate if you fly with Qatar at least once a year. The codes are valid only for Qatar-operated flights.

If you’re a college student, about to be a college student or — in the case of a few airlines — just qualify as a “youth,” you may be able to score some rich discounts and other benefits from a number of airlines.

Just make sure to take note of any special requirements from your preferred airline, sign up for loyalty programs in advance if necessary and enjoy the savings (plus a bit of extra baggage in many cases).

College of Charleston offers several semester programs each academic year. You will pay your normal College of Charleston tuition plus a program fee. This covers costs such as:

Travel Program Price Audit 

The latest audit results are now ready: Results for October 2023 – December 2023    As a reminder, an independent third-party will be conducting an ongoing formal audit of prices available through Pitt’s Travel Program on a quarterly basis. This audit compares the price for airfare and car rental searches to the top destinations for Pitt travel, through the following booking platforms: 

  • Concur online booking tool that works in conjunction with Anthony Travel , Pitt’s contracted Travel Management Company  
  • Direct booking through the travel provider (i.e. airline or rental agency)  
  • Consolidator sites (i.e. Expedia, Orbitz, etc.)

What to Expect When Traveling 

A regular email series, What to Expect When Travelling , is intended to equip University travelers with the latest travel industry information and tips. Most recently, we have shared information about the latest updates to Brazil’s visas requirements, the Wall Street Journal’s best and worst airlines of 2023, and a warning about a current airline scam. You can read more about the two latest travel tips and all previous tips on the Purchase, Pay and Travel website .  

Airline Partnerships 

American Airlines (AA) made the decision to focus their business platform on leisure travel, with that decision AA terminated their agreements with small to midsized clients. Unfortunately, that included the University’s agreement and the termination was effective January 31, 2024 .  With the termination of the agreement includes the benefits that the University received including status matches, boarding preferences, and name changes. Travelers and departments need to keep that in mind when booking, especially for guests where arrangements often change, because name changes are no longer available. Travelers can obtain all published AA pricing by contacting an Anthony Travel agent . 

The University maintains agreements with United Airlines, Delta Airlines and Southwest Airlines and the benefits their agreements provide.  Travelers are encouraged to support the airlines that are contracted with the University by booking through the Anthony Travel Agents or the Concur online booking tool. You can review the negotiated benefits for our preferred airlines (United, Delta, and Southwest) below:

Any travelers with AA status that wish to receive a status match with United or Delta please contact the University’s Travel Program Manager, Emily Duchene , and indicate with which airline you wish to have a status match. 

Payment Method Reminders 

The type of payment methods should be used in accordance with the type of purchase. Types of payment methods include: PantherExpress System, OneCard, Honoraria, Vincent Payment Solutions, Cash Withdrawals, Wire Payments, and the Disbursement Form (for Regional Campuses only). Please review the specific reminders below:  

  • Amazon Mechanical Turk (M-Turk) should be paid on the Vincent Card 
  • Political contributions/donations are not allowed through any payment method 
  • The purchase of gift cards is not allowed on the OneCard or through any payment method 
  • Services should be obtained through contracts and processed through the PantherExpress System, not Concur

Foreign National Payments 

When paying a foreign national through Concur , a W-8BEN must be attached to the expense report when submitted. Depending on the expense type, the report is forwarded to the University’s Foreign Nationals Tax office for review. If a W-8BEN is not attached at the time of submission, this will lead to a delay in the payment process. If there is no US address, a wire form will need to be completed and attached.  

When paying a non-employee who is a US citizen through the Pitt Guest Policy for the first time , or if there is an address change , the submitter of the expense report should:  

  • Attach a W-9 and new Supplier Verification Form (SVF) to the expense report.  
  • Leave the Vendor ID field blank  

When attaching the W-8BEN, W-9, or SVF, please attach the documents under New Vendor Supporting Documents Expense Type. As a reminder, Concur is only for individual payments. Business or service payments are not processed through Concur.  

State Sales Tax 

As a reminder, the University of Pittsburgh, as an educational institution, is exempt from sales tax in many states including Pennsylvania. In accordance with the University’s policy FN28  purchasers should make their best effort to have state sales tax removed from any charges when applicable. However, in circumstances that the state sales tax cannot be removed, the amount will be covered by the University. Please note, a department’s requirements can supersede the University’s, so purchasers are encouraged to confirm their individual department’s requirements regarding sales tax.  Review information on state tax exemption , including how to present your sales tax exemption certificate, in order to ensure that your department enjoys savings on state sales tax where possible

Expense Report Reminders 

When creating and submitting expense reports, it’s important to ensure all information is correct and all necessary documentation has been attached. Incorrect information, inaccurate expense types, or missing attachments can result in the report being returned by a department or Payment Processing and Compliance (PPC) approver and delay the reconciliation or reimbursement process . Please review the following reminders when creating and submitting your expense reports in Concur:  

  • Attach attendee lists and/or detail itemized receipts. For auditing purposes, and ensuring  compliance with the IRS Accountable Plan rules, you must include detailed itemized receipts and attach attendee lists (when appropriate) 
  • Prior approval memos for items that require RC level approval, such as meals with alcohol or flowers, should be obtained prior to purchase. The memo should be attached to your expense report in Concur when submitting your report for approval.  
  • Ensure you select the correct expense type 
  • Submit your expense report in a timely manner. Expense reports should be completed and submitted within 30 days of purchase or return from a trip. Failure to complete the expense report within 30 days can result in issues such as not obtaining a sales tax refund 
  • Failure to complete and submit your expense report in a timely manner may also result in imputed income.  

If your expense report is returned from Payment Processing & Compliance , check the comments for information on why the expense report was returned and adjust any incorrect or missing information prior to resubmitting. Be sure to correct and resubmit the expense report in a timely manner. 

Concur Basic Access/Approver Updates 

Concur Basic Access and/or Approver updates can now be completed by Departments’ HR Admins in the Pittworx system. Previously, this was an update Pitt IT needed to make. To complete these updates, follow t hese instructions . Note: please follow Steps 1 and 2 paying close attention to the Pitt Internet Expense Approver . Once that system is updated, the information should flow down to Prism and then Concur. This process will take up to four days for the systems to communicate with each other and then move data through their overnight processes to the multiple systems. Concur Print Button Issue 

Concur is aware of the print button issue within the system that sometimes causes the print button to disappear from a user’s profile when trying to print a report. Concur is actively working to resolve this issue. In the meantime, a temporary work-around is for users to log out and log back into the system, this often helps to reestablish the print button.

4 Tips to Complete College Applications on Time

Starting early with proper planning is key to timely college application completion, experts say.

Planning out your college applications early can help you stay organized as you move through the process.

With multiple components and deadlines, the college application process can be daunting for some students. Since prospective students are often juggling college applications alongside high school classes and activities, experts say it's easy to fall behind or procrastinate.

"Procrastination is a stress response, and it makes sense that some students who are anxious about the college process will avoid working on their applications in a timely fashion," Angela Warfield, principal consultant and founder of admissions consulting firm Compass Academics, wrote in an email.

"This can become a real problem if students wait too long to request transcripts, test score reports or letters of recommendation. Since the students need to rely on other people to submit these materials, they need to make sure to give those people as much time as possible to get those materials in before deadlines."

There are some exceptions where applications are accepted later, and schools that offer rolling admissions may be good last-minute options for students. But May 1 has traditionally been the decision deadline across higher education, even earning the name "College Decision Day," so students typically need to follow that timeline. If a student is applying for early decision or early action , there will be even earlier deadlines to submit application materials.

A well-thought-out plan, anchored by a few organizational tips, can keep students on track with college applications. Here are four tips that experts say students can follow to complete their college applications on time.

  • Start planning early.
  • Create a detailed checklist.
  • Ask for recommendation letters early.
  • Budget time for application essays.

Start Planning Early

Because there are multiple steps involved in applying to college, many of which require help from other people, experts say the most foolproof method to alleviate anxiety is to start early.

The Common App , which is used by more than 1,000 schools, opens Aug. 1 each year, meaning students can't officially submit applications through the platform until then. But those looking to get a head start can create an account during their junior year and get familiar with the platform, says Denard Jones, lead college counselor at Empowerly, a college admissions consulting company.

And though it may not be as fun as relaxing by the pool or hanging out with friends, students would be wise to use the the summer months ahead of senior year – when they have no academic obligations – to begin or complete college application tasks, such as completing any write-ups for the extracurricular or activities section , experts say.

Otherwise, "it makes the fall of your senior year that much more hard,” Jones says. “Because you still have to do academic work, you still have to go through the semester, and now you’re trying to pull all this information together."

Create a Detailed Checklist

Keeping track of the various application requirements and deadlines can be streamlined with a checklist. School counselors and independent college counselors can typically provide students with a checklist, and the College Board also provides a list for students and parents to use.

Universities also typically have an application checklist on their website, which may include directions or items specific to them.

If applying to multiple colleges, students and parents may also want to create a master spreadsheet or other document to keep track of deadlines and when parts of the application are complete. Setting up reminders on a digital calendar for important dates can also help, experts say.

"Dates to consider include: application deadlines, testing date/score submissions deadlines, dates for recommenders to submit letters of support and important scholarship deadlines," Warfield says.

Ask for Recommendation Letters Early

Letters of recommendation from teachers, school counselors and other sources are important to providing college admissions officers deeper context and colorful details about applicants. Like personal essays, they can help humanize applicants and give schools an idea of whether a student would succeed academically or fit in socially within their campus culture.

A strong recommendation can tip the scales in a student's favor, especially in situations where there are academic blemishes. A weak or vague letter may reflect poorly and cause an application to stand out for the wrong reasons, experts say.

Students should choose the right people to write letters, such as teachers or counselors who know them best. It's equally important to give recommendation writers enough notice so they aren't asked to craft a hastily written letter.

Richard Tench, a school counselor at St. Albans High School in West Virginia, suggests giving recommenders at least two weeks to complete the letter, but in some cases it may be wise to ask even earlier.

“That will provide them the time to say yes or no," he says, "but that also provides them the time to think about it and write a comprehensive letter."

Some teachers are pressed for time and commit to writing a limited number of recommendation letters each year. Once those spots are booked, students shouldn't be surprised if their request is denied. This could force students to pivot to a recommender who doesn't know them as well.

“The more time you give a recommender to write, the better," Jones says. "That way, hopefully it won’t be this template that’s just cut and paste and doesn’t really help the admissions offices much."

Budget Time for Application Essays

Personal statements are often the most time-consuming and stressful part of the application process, Warfield says. But this is another area where students can get a head start during their junior year or the summer before their senior year.

The Common App typically announces essay questions for the upcoming application cycle in January or February, giving students ample time to prepare for or begin writing the essays. Warfield recommends students begin working on essays in early June, ahead of their senior year, which allows more time to edit and perfect their essays with peers or trusted mentors.

Schools that require supplemental essays vary on when those prompts are announced, but Warfield says students should start on them as early as possible and "work smarter, not harder" when completing them.

"Look for similar themes and questions where your answers aren’t likely to change," such as what you want to major in or what community means to you, she says. "You can revise these essays to be school-specific, but not completely rewrite them. Don’t duplicate your efforts."

Starting on essays early can be particularly helpful for students who struggle or need additional assistance with writing the essay, she says, adding that students who procrastinate may be tempted to rely on another person or an artificial intelligence tool such as ChatGPT to write their essay. While some colleges are using AI in admissions, colleges expect the personal statement to be a student's authentic writing.

"As someone who’s evaluated student writing for 30 years, it is not that hard to spot an AI-generated college essay," Warfield says. "If students try to use AI as a shortcut, colleges use AI detectors and seasoned admissions readers to detect derivative material."

This could be anything created by AI technology, and use of such language in essays could harm an applicant's admissions chances, experts say.
