Travel and Expense

Travel management solutions for small businesses.

Managing travel expenses as a small business grows more complex as the company changes. At first, travel management for small business may involve few employees and few trips. However, as your business expands or changes, implementing policies and practices related to business travel becomes more critical.

What Is Travel Management?

Travel management is the disciplined practice of using policies to track and coordinate aspects of business travel. The practice provides integration and consistency to the booking of travel, recording expenses, and reimbursements.

The practice of travel management covers everything from the development of travel and expense policies to the management of vendors and approval of travel reimbursements. It often includes booking travel and developing itineraries on behalf of your corporate travelers.

In addition, travel management covers the monitoring and reporting on travel and travel-related costs and expenses. With a strong travel management approach, businesses can gain insights into how their employees are traveling and make informed decisions about changes or enhancements that save money and help employees.

Oversight of travel and related expenses often falls to an individual traveler’s manager. However, that management should be grounded in the policies that determine everything from allowable airfare classes, hotel prices, and requirements for booking and changing travel.

Managing small business expenses can be a complex endeavor. However, developing a business travel policy may help businesses alleviate headaches and provide fair and proper guidance to on-the-road expenses.

Use Technology for Travel Expense Management

Many businesses today opt to use technologies that can simplify travel management . These platforms help ensure that employees understand travel policies and use the same tools for recording expenses and being reimbursed.

Why use technology to manage your business travel? Here are some of the core benefits:

Reduced Costs. A travel management solution can help save costs for your company. It will ensure that travelers are using the best available rates. In addition, a travel management solution can help ensure your travelers are compliant with policy and ease the management of your overall business travel program

Booking and Itinerary Management. A travel management solution empowers travelers to book their own travel and create itineraries using online booking tools. These technologies enable travelers to select from policy-approved options and create or modify itineraries as needed

Expense Reporting and Reimbursement. A travel management solution works best when paired with an expense tool. This allows travelers to coordinate all their travel expenses in one place, allowing for fast and convenient reporting and reimbursement for expenses

Access to Support. A good travel management solution is backed by a strong team of experts who know the travel industry and can help your travelers save time and solve any problems that arise. You may consider a travel management company, which can provide industry-specific and general support to assist with the booking and management of travel and the analysis of your travel program

Better Rates. By consolidating travel management to a single solution, you may gain access to preferred rates, reducing the costs of airline tickets, hotel stays, car rentals, rail tickets and other essential elements of your travel program

Access 24/7. With a travel management app, your travelers and managers have access to the technology 24/7 on any device from anywhere. This access makes it easier for travelers to record expenses, make changes, and gain access to helpful tools no matter the time zone or location

Risk Management. With a good travel management solution, you can reduce the risks to travelers and ensure they feel safe and secure while on the road. If employees are traveling in potentially dangerous areas, travel management tools can issue alerts and help in the case of natural disasters, civil unrest, or other unnerving disruptions

Consolidated Reporting. When all your business travelers are using the same tools, your reporting and analytics are much stronger. The application you choose can help with the generation of reports that show the costs and expenses by division, department or traveler. Analytics can provide deep insights for decisions about budgets and policy

Tips for Small Businesses

If your small business is looking for help in creating a travel management program, follow these suggestions:

Create a Travel Policy. It’s important to have a travel policy that covers all elements of your travel program. Involve human resources and finance staff in developing the policy, along with representatives from the departments that travel frequently. Be sure to be clear about the objectives of the policy and cover what expenses are eligible, the booking process, reimbursement policies, and expense categories

Communicate Often. Be sure to communicate to your employees about your travel policy, especially if it’s new. Tell them why it’s necessary and be transparent about what the policies are achieving

Consider a Travel Management System. A travel management system will simplify and automate key elements of your business travel program. With the right travel management tools, you’ll have expense software for small business, tracking and reporting tools and simpler, smarter reimbursement and expense management for travelers and managers alike

Table of Contents

How can a small business incorporate and manage business travel effectively?

The management process involves establishing a clear travel policy, implementing an efficient expense tracking system, ensuring duty of care, constantly re-evaluating the travel policy, and incorporating travel management software.

To develop the best solution for an efficient and stress-free travel program, consider the following steps.

1. Evaluate the company’s travel needs and set a realistic travel budget

First and foremost, small business owners need to evaluate the company’s travel needs in order to establish a realistic travel budget.

This involves analyzing past travel by identifying the different types of expenses incurred and the frequency of business trips. Partnering with a specialized travel software development company can further enhance these capabilities, offering tailored solutions that cater specifically to the unique demands of small business travel management.

This will give business owners a good starting point and foundation on what to include in the budget when it comes to the different types of expenses and the amount to allot for the different categories .

Establishing a travel budget helps business owners track and monitor expenses so that costs can be kept reasonable and under control.

2. Establish a well-defined travel policy

One of the key aspects of managing corporate travel is establishing a well-defined travel policy.

This policy should outline guidelines for booking flights, accommodations, car rentals, and ground transportation, as well as set limits on the different types of expenses and define the approval process.

Making this information readily available and accessible ensures that employees can make informed decisions when planning their trips.

By implementing a clear travel policy, small businesses can prevent overspending and maintain consistency across the organization.

3. Track expenses efficiently

Another vital component of managing business travel is the implementation of an efficient expense tracking and reporting process.

The ideal travel management solution will make it easy for employees to track and report expenses and for managers to review and approve them.

4. Ensure duty of care

Duty of care is also a crucial consideration in managing corporate travel.

Businesses must ensure employee safety and security throughout their trips, by staying informed about potential risks, providing adequate insurance coverage, and establishing procedures for handling emergencies.

5. Continuously analyze and optimize the travel program

To ensure that a small business travel program remains efficient and adapts to the needs of the company, business owners should regularly review and update the company’s travel policy and budget.

By analyzing employee feedback and travel data, areas for improvement can be determined and the necessary adjustments made.

This involves reviewing travel data and identifying trends, such as the most frequent destinations or preferred airlines, to negotiate better deals with suppliers.

Analyzing travel data enables companies to make data-driven decisions and optimize costs in their travel programs.

6. Incorporate travel management software

Streamlining all of these processes is where travel software enters the picture.

The very best travel management software platform enables businesses to book travel, manage itineraries, and track expenses, all in one centralized location, while staying compliant with the company’s travel policies.

Automate corporate travel policies

An essential feature of software for corporate travel management is its ability to automate the enforcement of corporate travel policies.

This ensures employee compliance with the company’s established guidelines, eliminating discrepancies and minimizing financial risks.

Consolidate travel expenses

Another major advantage of using travel management software is the consolidation of travel-related expenses and invoices.

This allows small businesses to monitor costs, identify spending patterns, and optimize its travel budgets.

Streamline the travel process

Leveraging  travel CRM software  tailored for small business owners can significantly streamline all of these processes and promote a seamless business travel experience for both employees and managers.

Travel software serves as a critical solution for small businesses to effectively plan, manage, and track their corporate travel activities while saving time, reducing costs, and ensuring compliance with corporate travel policies.

What are the key features of travel management software for small business owners?

There are some key features that should be included in travel management software to make the process as efficient as possible.

These features may be found in one centralized platform or by integrating multiple platforms.

1. Booking and itinerary management

Management software for travel should include booking and itinerary features.

These features allow users to book flights, hotels, and ground transportation in one centralized platform. For those interested in how to build a hotel booking website , it's essential to consider integrating similar functionalities to enhance user experience and streamline the booking process.

It consolidates all travel plans, making it easier to manage and monitor itineraries. A great sample can serve the trekking routes and trails of reputable trekking companies where any user or customer can find and filter all the routes depending on his preferences. For instance, if a client plans walking holidays in Italy far away from crowded cities, there's a high chance to find Dolomite, Alta via, or any other itineraries due to those features.

2. Expense tracking and reporting

Travel management software should also enable employees to easily track and report expenses incurred during their business trips.

Expense tracking

Even for small businesses, keeping track of business expenses can be a daunting task.

Tracking expenses for travel involves keeping up with all receipts and recording all company-related expenditures during the trip.

A good expense management solution should provide an easy-to-use interface for employees to input or scan expenses, as well as a dashboard for employers to monitor and analyze costs incurred.

Expense reporting

Expense reporting is another crucial aspect of travel management for small business owners.

Employers must have a clear and straightforward system in place for their employees to submit expenses incurred during business trips.

This may involve creating custom forms, templates, or utilizing digital tools to allow employees to input their expenses with ease.

Expense management software often includes features for more automated expense tracking and reporting , making the process quicker and more efficient for both employees and employers.

3. Policy compliance

A well-designed travel management system and software ensures that employees adhere to corporate travel policies.

Effective policy controls are an essential component of travel software.

Built-in policy controls within the software allow small businesses to customize and automate their processes according to their specific needs and requirements.

These controls can include setting spending limits on travel expenses, choosing preferred travel suppliers, and requiring pre-trip approval for certain types of bookings.

By implementing these policy controls, small businesses can better manage their travel costs and minimize the risk of unauthorized travel bookings or overspending.

Additionally, these controls help to simplify the compliance process by automatically enforcing corporate travel policies in real-time.

This enables businesses to quickly identify any discrepancies and address them before they become a larger issue.

Utilizing software with built-in policy controls can significantly streamline this process, allowing businesses to focus on growth and success.

4. Analytics and insights

Advanced travel management software provides valuable insights with the use of artificial intelligence and analytics to help businesses identify and address trends, optimize their travel program, and make data-driven decisions.

Top travel management systems offer robust reporting and analytics capabilities, making it easier for small and large businesses everywhere to optimize their corporate travel strategy.

Travel software for small businesses should provide comprehensive reporting dashboards that offer an easy-to-understand overview of travel and expenses.

Dashboards usually display essential information and KPIs (key performance indicators), including the number of trips booked, the average cost per trip, and any policy violations.

Furthermore, these interactive dashboards enable users to monitor spending habits and make informed decisions about their travel budgets.

Travel analytics

Travel analytics is a crucial aspect of travel management software.

The system should offer diverse analytical capabilities to help businesses gain insights into their travel spending patterns and identify potential areas for cost reduction.

Advanced software often includes customizable and industry-specific reports, such as top destinations, preferred airline carriers, and total travel expenses categorized by department or employee.

Efficient analytics and reporting tools are vital for small businesses to manage their travel and expenses effectively.

With these features, AI in travel software can help organizations optimize spending and streamline their travel operations, ultimately leading to a more strategic approach to managing business travel.

5. Integration

Another key feature to consider when choosing travel management software for small business is its integration capabilities.

Third-party integrations

Travel software often comes with a range of third-party integrations that can enhance its functionality and help businesses achieve a more efficient travel management process.

These integrations usually work with existing tools and software that the company may already be using, such as expense management platforms, payroll systems, and customer relationship management (CRM) solutions.

Some other travel management platforms and solutions even offer advanced integrations with popular platforms like Uber, airline ticketing systems, and hotel booking sites.

These integrations enable businesses to streamline their travel management workflow by connecting multiple services through a single platform.

Another notable benefit of third-party integrations is their ability to provide real-time tracking for every transaction.

To make the most of these integrations, businesses should consider the following factors:

Compatibility : Ensure that the chosen travel management software can integrate with the tools and platforms your business is already using or planning to use.

Scalability : As your business grows, your needs may change. Look for a travel management platform with a range of integration options that can adapt to your evolving requirements.

Ease of setup : Select a solution that offers seamless integration with minimal effort from your team. This will make it more likely that employees will adopt and use the software successfully.

Its platform is easy to use since receipts are easily turned into human-verified extracted digital data just by snapping pictures of receipts directly from Shoeboxed’s mobile app.

Magic Envelope

Or, if you don’t want to snap photos of your receipts, a pre-paid envelope is provided called a  Magic Envelope .

This Magic Envelope is unique to Shoeboxed.

It can be stuffed full of receipts, documents, or business cards and dropped in the mail for Shoeboxed to extract and transform the information into digital data.

When the receipts are uploaded, Shoeboxed not only human-verifies the data, but also categorizes the data into 15 categories for expense reports and  tax deductions .

Expense reports

Expense reports can also be easily created.

Comprehensive expense reports can be created from your mobile device or the web, which also includes images of all expenses.

From there, data can be exported, printed, or shared for reimbursements or tax deductions.

Search capabilities

With Shoeboxed, users can quickly search and retrieve key information.

Shoeboxed’s search capabilities allow users to find specific documents quickly through filters or keyword searches.

Filters are set so that searches can be performed based on category, vendor, price, or time period.

Shoeboxed’s receipt app has special OCR or optical character recognition technology that transforms printed text, even handwritten, into data that is searchable.

OCR can also improve the accuracy of searches by recognizing the text found within documents that have been scanned.

The software quickly scans, organizes, and archives these documents for efficient record-keeping, search, and easy retrieval.

Mileage tracker

Another useful feature for small businesses is Shoeboxed’s mileage tracker.

If you are traveling for business and using your own vehicle, Shoeboxed has a built-in GPS for easy, accurate mileage tracking.

Just go to the mobile app, select the ‘Mileage’ tab in the bottom of the navigation bar, and select ‘Start Mileage Tracking’ to begin tracking business miles.

Integrations

Moreover, integrating expense tracking with travel management software can help streamline the entire process and provide real-time, actionable insights into spending patterns.

Shoeboxed integrates with popular software such as QuickBooks to streamline small business financial information.

Once the receipts are scanned and uploaded, they will then sync with QuickBooks where they will show up as categorized expenses.

Taxes and audits

Shoeboxed  is incredibly helpful at tax time and during  audits .

Instead of having to flip through receipts manually, OCR scanning means receipts can be searched digitally.

If mileage or a transaction is in question, the filtered search feature can be utilized to pull the data up quickly on your Shoeboxed account.

Shoeboxed’s digital images are accepted by the Canada Revenue Service and the IRS.

No more having to keep up with receipts and no more torn, missing, or stained receipts.

The all-in-one guide to travel management for small businesses

Travel management made easy with this complete guide for small businesses. Managing business travel for SMEs doesn’t have to be difficult. Start reading to find out more.

By Jessica Freedman

February 9, 2024

SME

When it comes to corporate travel management everyone is looking to make the most out of their travel budget whether coming from a large company or small and medium enterprises (SMEs or also known as SMBs).

In this guide we will look at:

  • Where to start to manage your business travel
  • What is the the role of a travel manager
  • Corporate travel management software

Consumer travel websites

  • Corporate travel management companies
  • How to best use travel management software

We know business travel can be complex, so we’re here to simplify. So, let’s dive in.

TRAVEL MANAGEMENT

Business travel for smes.

Travel can get expensive if you’re a small business and don’t have the right policies and procedures in place from the get-go. That’s why it’s important to have a clear idea of what your budget is and how much you want to allocate to travel to make it as cost-effective as possible. To do so, make sure you have the following clear:

  • How much do you want to spend monthly, quarterly and yearly?
  • How do you want to manage travel risk (read more about duty of care )?
  • What travel agency or travel software as a service (TaaS) tool do you want to use?

Not sure if you prefer an online or offline service? Find out the pros and cons of an online travel agency vs. offline.

  • What destinations will be blacklisted due to being overly expensive?
  • What does your travel policy include?

travel policy template

Don’t have a travel policy yet?

The role of a travel manager at a sme.

A travel manager is in charge of business travel within a company. When we talk about what skills are needed to be a travel manager, it’s important they have good communication skills, that they are fun and interactive, knowledgeable, and have the ability to plan and execute. They generally help design a company’s travel policy, make travel arrangements, keep track of travel expenses, and make sure travelers are happy and productive.

While this figure is especially important in a big company with a high business travel volume, at a SME, this role is either non-existent or taken care of by an office manager, HR professional or employees themselves. In the absence of this figure, using a travel management platform is a great way to keep track of expenses, have employees easily make their own travel arrangements and automate your travel policy.

BUSINESS TRAVEL SOLUTIONS

The best way for small businesses to book travel.

Not all companies have a dedicated person to book staff travel, which means you need to find a way that doesn’t take too much time, money or resources. While there is no magic solution for small businesses to book travel, there are definitely some good options. There are corporate travel companies or agencies (TMCs), consumer travel websites like Booking.com or Expedia.com, and other business-focused travel tools like GetGoing corporate travel management software .

Corporate travel management software

Corporate travel management software (like GetGoing) will help make your life easier by putting everything in one place . You can book train travel, a rental car, hotels and flights without having to search for each leg of your trip on a different website (ie. Booking.com Expedia.com). This kind of software also helps to streamline the overall travel booking process. Plus, you will have access to the best travel content and travel deals on the market.

The nice thing with this kind of software is that it’s easy-to-use and self-service, which is ideal for small and medium sized businesses that don’t have a lot of time to spend searching for deals or working with a travel agent over the phone. With a corporate travel tool, you can have access to the best deals without having to scour the internet. Plus, you have access to offline support should you need it, making it the best of the on and offline worlds.

What is TaaS?

Some travel management companies have moved the TaaS business model. TaaS is travel as a service or travel software. Essentially as a user, with a TaaS product you pay monthly fees with the maximum benefits aimed at the users like travel savings and other incentives. TaaS software is geared at the users and is transparent in terms of the pricing model and what you get.

There are many consumer travel websites or online tour agencies (OTAs) that aggregate travel content to find you the best deals. There are websites like Kayak, Skyscanner, Hotels.com, Booking.com and so many more, but they are not the best ways for SMEs to book corporate travel. Why not? Because these sites are consumer-facing meaning that they don’t specialize in the needs of business travelers.

When something goes wrong it’s hard to find someone to help you, and itinerary changes or date changes can be expensive. Business travel needs a certain amount of flexibility, so it’s best to find a solution that provides flexibility and support when the going gets tough.

business travel management

Travel management company (TMC)

You’ve probably seen the acronym but you may not know what a travel management company or TMC is. A travel management company or TMC is a travel agency or travel agent that specializes in the needs of businesses. A TMC is designed to help businesses and their employees improve and optimize the way they travel by providing solutions such as special rates, making bookings, monitoring travel costs and expenses, and supporting fulfilling a company’s duty of care.

What is a travel management company?

A travel management company is an enterprise that helps your business manage travel. Having a designated travel management company will usually depend on the travel volume of your company. For small and medium sized enterprises, it will often make sense to use a travel management app or travel management software that puts travel management in your own hands, but has tools that make it easier, cost efficient and effective. It’s all about saving time, money and valuable resources.

The most popular travel management companies

Now that you’ve understood the importance of having a TMC or travel management software that’s designed for business travel in mind, here is a list of some of the top Travel Management Companies (TMCs) on the market. With so many travel management companies to choose from, it’s not always easy to make a decision, but it’s also an important decision because they will provide market insights, help you to optimize your travel budget and make business travel easy.

USING TRAVEL MANAGEMENT SOFTWARE

How to use travel management software to optimize your travel program: the six steps of corporate travel management.

As we move towards a more self-service model of travel where people want to take travel management into their own hands, looking for practical solutions that simplify how trips are booked, and how the whole process is managed, TMCs and software are evolving to help with the process. The six steps of corporate travel management are:

1. Creating a corporate travel policy

A corporate travel policy is the backbone of the business travel process; it all starts here . It will help you define how employees travel, where they can stay, their per-diem allowances, and more. Plus, it will help you protect the safety of travelers. If you use a travel management platform, you will be guided to automate your travel policy to optimize costs and meet objectives.

2. Booking flights and hotels

Travel management is essentially about booking flights, trains, cars and hotels, everything that is needed for a business trip. With a self-booking tool, everything can be found in one platform to make the booking process smoother and faster, rather than relying only on a hotel app . As the travel policy is automated, any bookings that are made on the platform will be within policy.

3. Service and Assistance

Business travel doesn’t always go smoothly and for this reason, one of the key phases of corporate travel management is 24/7 support should something go wrong. Service and assistance from real people when the going gets tough is exactly what you need for peace of mind.

4. Consulting

Consulting can be about providing additional information that will help make a business travel program better, whether that be a duty of care plan, or a travel risk assessment, or even about how to better use the platform to get the most benefit and unlock the most savings.

5. Travel support

Travel support can be provided by a platform in the form of trip notifications, making sure employees are aware of itinerary changes, upcoming trips or other last minute preparations needed like filling out COVID-19 waivers and proof of vaccinations.

6. Reporting and analytics

Since reporting is a big part of understanding how well the travel program is staying on budget, it’s important to have a tool that can help you run these reports to make better decisions about changes needed in your travel program.

What is a travel management system?

We’ve looked at how to use travel management software, but when we refer to the system, it’s the whole ecosystem that is in place in order to ensure that businesses can successfully and seamlessly manage their travel.

Establishing Strategic Goals in Travel Management for Small Business

Here is the unsettling truth: corporate travel expenses are rising by the day and small businesses stand the highest to lose. For travel managers, this means cutting down unnecessary spending as much as possible with strict adherence to cost-cutting objectives provided in the travel policy . Travel accounts for significant corporate expenditure, with an estimated $1.3 trillion going into business travel annually.

In this post, we highlight three strategic goals small business travel managers should set course for.

Underlining the Need for Travel Management for Small Business

No business is too small for travel management. “Ideally, [travel management] should be as early as possible”, said Rick Wakida, a global travel manager for Informatica .

At minimum, corporate travel management should keep traveling employees comfortable, safe, and mindful of their spending habits during business trips. To better meet these demands, travel managers maintain long standing relationships with travel vendors for easier, cost-effective transport and accommodation options.

But perhaps the most clear-cut importance of travel management lies in cost-optimization. Travel management keeps each traveling employee accountable for their spending during business trips and actively reinforces your business’s travel policy behind the scenes.

Thanks to travel management platforms such as TravelBank, self-accountability is further enhanced through self-booking and expense reporting – without the tedious involvement of an outsourced travel management agency.

The Travel Policy and the Duties of the Travel Manager

The travel manager is the custodian of the company’s financial interests wherever business travel is concerned. Not only do they fulfill cross-departmental duties regarding travel with human resources, finance, and procurement departments, they also find and exploit potential savings opportunities.

The travel manager oversees all aspects of business travel and ensures compliance with the travel policy. Some of the key duties they discharge include:

  • Duty of care (ensuring that employees travel safely to and from the destination)
  • Negotiating deals and maintaining good terms with travel suppliers
  • Managing booking travel for small business (both transport and accommodation )
  • Enforcing travel guidelines

A flight booking app for travel management for small business on a phone and a tablet.

To faithfully discharge their duties, travel managers develop, review, and enforce travel policy guidelines for traveling employees. A travel policy may contain such information as guidelines regarding booking and reimbursement claims, eligible travel expenses, and any other rules that must be followed when employees travel on behalf of the company.

The Top 3 Strategic Goals for Small Business Travel Managers

Larger corporate firms often seek extended support from travel management companies. Averaging at 29 trips per year , larger companies with 201 – 500 employees often opt to leave their massive corporate travel programs in the hands of travel management companies and travel agents.

Small businesses, too, have similar options at their disposal. However, their objectives may slightly vary from their outsourced partner’s. To maintain better control of the travel program, in-house travel managers must keep their eyes on these three key goals:

1. Building Solid Relationships with Strategic Supply Chain Partners

Good supplier relationships signal a successful, mutually beneficial travel program for the long haul. Often, travel managers bring with them valuable contacts, hotels, and service vendors to the business. These partners are key players in the travel supply chain network, providing a host of goods and services that facilitate business travel.

As with any buyer-supplier relationship, travel vendors tend to invest in catering to the needs of their loyal and predictable corporate clients. This can often be seen in their treatment of long-term corporate clients, e.g., through generous discounts and complementary services.

In return, travel managers should communicate changes to the travel policy in good time, to allow supply chain partners ample time to review and adjust their services to the satisfaction of your new terms.

Minor gestures such as feedback on the quality of service from employee experiences further helps cement the relationship with the vendor.

Tip: Partnerships and contracts with travel supply vendors are subject to periodic review. At any given time, the procurement department may opt to renegotiate or cancel contracts if there is reason to believe that the terms no longer align with the objectives of the travel program.

2. Developing Cost-Effective Strategies for Travel Management for Small Businesses

Given that only about 26% of business trips are a day long, travel managers must develop strategies that bar the misuse of company funds during business travel.

  • Start by assessing travel needs – Travel managers should evaluate the frequency and purpose of travel, destinations, and the number of employees traveling annually as the foundation for travel-related decisions.
  • Selecting travel partners – The right travel partners should have the capacity to deliver on your needs; e.g. sufficient healthy, and safe accommodation spaces for traveling employees throughout the year.
  • Embracing technology – Travel managers can embrace technology to navigate seamlessly through the nuances of travel management. Manually tracking expenses can be time-consuming. Travel management platforms aid in cost control, minimizing policy violations , and minimizing financial risks.

Tech-enabled platforms bring convenience in an otherwise cluttered space. Features such as online booking, expense tracking, and analytics providing real-time insights can help fine-tune expense management for small business travel managers.

3. Risk Management

A volatile business environment can put smaller businesses with limited resources at a higher risk. For travel managers, identifying and mitigating travel risks is a necessary step towards securing the long-term success of the travel program.

Travel managers may need to analyze the entire scope of the business, identify and assess potential risks that may stem from internal or external factors. This may include:

  • Impending changes to the business
  • Possible travel supply chain disruptions
  • Employee safety and duty of care

At this point, travel managers should make contingency plans for any potential risks on the horizon and roll out standard operating procedures for ongoing risks like duty of care.

TravelBank: Your Strategic Travel Management Partner

When it comes to managing business travel expenses, there’s a handful of ways businesses go about it depending on their size, needs, and number of traveling employees, among other factors. Some companies approach the issue with the help of a travel booking agency. Others outsource the entire workload to an external travel management company (TMC). The problem with these two approaches is that they don’t always make economic sense for small businesses with limited travel resources.

There’s a better way. An all-in-one integrated travel and expense management platform like TravelBank cuts off the middleman, granting your company full control over its travel program. TravelBank’s fully integrated solution works on multiple devices, offering a host of features from online booking with exclusive deals, expense reports, to T&E analytics. TravelBank provides better control over travel management for small business, and scales with your company as it grows.

Product Tour_ See Travel Management in Action

With business costs set to soar higher with the rising inflation, efficient travel management has never been more crucial than now. Setting business-specific goals for the upcoming year creates the foundation for more efficient business travel, and corporate travel management platforms can help push down the costs of travel for resource-sensitive small businesses.

4 of the best practices and 4 of the worst mistakes employees make when traveling for business

  • Employees traveling for work can make their time on the road more pleasant with a few practices.
  • For a successful trip, business travelers should eat healthily, prioritize sleep, and pack wisely.
  • This article is part of " Business Travel Playbook ," a series about making the most of work travel.

Insider Today

Business travel continues to rebound from the early stages of the pandemic as employees take more work trips.

A 2023 US Travel Association  survey of 2,379 business travelers  found that the average number of monthly trips the respondents expected to take was around three — a slight bump compared to two trips a month the previous year.

With professionals traveling more for work , Business Insider talked to three frequent business travelers about their successful habits and a few things they avoid when on the go.

4 habits of successful business travelers:

1. practicing good hygiene.

While this might seem obvious, Donzella Burton , the owner of a center for assisted-living healthcare and training, said that if you're going to be taking frequent business trips, it's important to prioritize your health by practicing good hygiene.

"I travel for business once or twice a month, depending on the season," she said. "I wash my hands frequently with soap and water for at least 20 seconds, especially before eating or touching my face. If soap and water are not available, I try to make sure I have alcohol-based hand sanitizer with at least 60% alcohol content."

2. Eating healthily and exercising

While business travel can disrupt your routines, eating healthier meals and drinking plenty of water can help you feel more energized . Michael Murray, the CEO of the electronics manufacturer Kopin Corp., travels at least twice a month for business and said that eating healthy meals could be tough, especially when his flights arrive late at night.

"By the time I arrive, many hotels have shut down room service at 9 p.m.," he said. "If it's late, I tend to order from a food-delivery app while I'm en route to my hotel and focus on ordering from places with great ratings, natural food, and decent salads."

Carving out time to exercise on the road is also important because exercise has the potential to boost immune responses and keep energy levels high .

"I invested in some lightweight running/workout shoes which are easy to pack and some workout gear that is light and breathable so I can use it often," Murray said. "When I travel, I choose hotels for their gym equipment, access to walking paths, or access to a nearby fitness chain that offers day passes. I've also downloaded several fitness apps if I need to work out in my hotel room."

3. Enrolling in airline security programs

If you know you'll be flying often, look into signing up for an airline security program to save time before your flight.

"I recommend utilizing TSA PreCheck or Clear," Anneleah Williams-Bridges, a hospital executive and healthcare consultant who travels weekly for her job, said. "These are options to help fast-track your security-check-in process during high travel times and are a valuable time saver that will help you bypass the heavier foot traffic of all the other business travelers."

Both TSA PreCheck and Clear are often great for domestic flyers and can reduce time spent in airport security lines. TSA PreCheck users get access to a separate, shorter security line, and Clear users can jump to the front of the security line after verifying their ID and boarding pass.

4. Prioritizing sleep

While it might be tempting to use all your downtime to tackle more tasks on your to-do list and work late into the night, getting sleep is essential for a successful work trip.

"Don't be brave. You don't get a medal for 'burning through the day' without sleeping," Murray said. "I used to fly to the UK and Ireland and go straight to the office from the overnight flight, which from the East Coast is just enough time to sleep for an hour or two, maybe. In the long run, running on a few hours of sleep wasn't effective for me, my team, and the business."

4 things successful business travelers avoid:

1. overpacking.

Wanting to be prepared for anything is understandable, but don't go overboard with stuffing your suitcase . Overpacking can result in a cluttered hotel room — and you'll likely have to check a bag, which can slow down your commute.

"Packing light is a great way to make it through the airport quicker," Williams-Bridges said. "Only using carry-on luggage for business travel ensures that you can board the plane, exit the plane, and go directly to your destination without waiting for a checked bag. This can save you about an hour and a half of time during your commute."

2. Overplanning

Another successful habit is to avoid overplanning. Burton said that while it's important to have a general idea of what you want to accomplish on a business trip, you should leave room in your schedule for downtime and avoid scheduling back-to-back meetings or events.

"Overplanning every minute of a business trip can lead to unnecessary stress and can hinder the potential for spontaneous discoveries or relaxation," Burton said. "Scheduling downtime allows me to decompress and can offer valuable opportunities for self-care and personal reflection."

3. Booking the cheapest flight

Burton said you should stick to one airline to take advantage of loyalty points if you travel at least once a month. The benefits of joining an airline loyalty program include upgraded seating, lounge access, and priority boarding.

To make things easier, business travelers should also try to book the best direct flights and not opt for the least expensive flight because "sometimes you get what you pay for," Williams-Bridges said, adding that cheaper flights could mean a travel experience riddled with complications like excessive delays.

"I also avoid traveling on holidays, which can be cost-effective," she said. "Lastly, I try to avoid connecting flights, which could add unnecessary flight time to your trip."

4. Consuming too much alcohol

While many business meetings and client dinners can include a glass or two of wine, excessive drinking could result in impaired judgment or a hangover.

"While it's OK to enjoy a drink or two with colleagues or clients, be mindful of alcohol consumption and its impact on your overall health and energy levels," Burton said. "Opt for lighter options like wine or spritzers, and alternate alcoholic beverages with water to stay hydrated."

Insider tips to make the most out of your business trip

Skip the added stress of a work trip by considering these helpful hints from a seasoned business traveler..

March 22, 2024

If you travel often for work, you know that business travel can be hit-or-miss. From packing and airport etiquette to choosing the right place to stay and taking advantage of amenities that enhance your experience, knowing how to make the most out of your stay is crucial for a successful business trip. And no one knows that better than Kevin Morgan, the Vice President and Brand Head of Tempo by Hilton , a hospitality brand designed specifically with business travelers in mind. From thoughtful common areas to first-class amenities, Tempo hotels are built to match the pace of today’s business travelers. Not convinced? Don’t just trust us. Read on and let Morgan convince you firsthand.

Can you tell us a little about yourself and how often you travel for work?

I’m a 25-year veteran of Hilton. I started as a front desk agent at Pointe Hilton Squaw Peak [now Hilton Phoenix Resort at the Peak ] and [have] lived in a number of places across the country. My career at Hilton has allowed me to work in many different departments including operations, technology, brand performance support, product management and now brand management. On the weekends you’ll find me outdoors and the nearby national park with the family and some filmmaking gear. Travel varies, but it’s probably close to two to three trips per month.

Headshot of Kevin Morgan

Has travel always been a part of your job? If so, how have you seen business travel change in recent years?

I’ve been traveling long enough to see some evolution. The biggest is the airlines have become more efficient with scheduling with tighter turns on airplanes. While this allows for more convenience with flights, it certainly has a ripple effect when weather and issues with planes occur, which results in much broader disruption to the system. It’s either smooth or a long delay and not much in between.

What do you hope to see from the business travel industry in the future?

More streamlined security checkpoints. We’re starting to see that with scanning of driver's licenses; however, I look forward to digital ID being introduced to more states, airports and airlines.

What are one or two travel essentials that you pack for a business trip?

Headphones: Between the reading of text messages to the noise cancellation, these magical earplugs are a must. Even if nothing is playing, the noise cancellation of just wearing them makes for a much quieter and peaceful journey.

Charger: A charger with an angled plug is the key. Often, the plugs on airplanes are worn out and the chargers that are issued with your laptop fall out. The angle on the plug seems to prevent the charger plug from falling out of the worn-down socket. Plus, the higher wattage on the charger means quicker time to juice up your devices before a flight or trip.

Two women drink cocktails seated at a bar

What’s the secret to combining business travel with leisure time?

Accepting that it’s OK to relax . When we’re traveling, our minds are often in work mode and never leave that space because we don’t have an official delineation of “disconnect” like leaving an office to go home. Take a moment for you. Your immune system and mental health will thank you for disconnecting and getting that full night's rest.

guest sitting in bed reading a book

What’s a crucial component of business travel that you feel gets overlooked?

Kindness. While there is a time and place for feelings of angst with the airlines in general; just like our hotels, oftentimes the issues that garner the most frustration with travelers are completely out of the control of the airlines’ team members.

Do you have a favorite piece of travel advice that you could share with us?

Never leave a good time for a better. If you’re enjoying what you’re doing, don’t feel like you’re missing out and are obligated to move on to something else. The better time is rarely better.

Tempo is positioned as a brand for business travelers. How does the brand enhance a business stay for guests?

Minimizing the disruption of the traveler. When we’re on the road, the conveniences of home are difficult to find. From the gym experience complete with a Smith machine to the healthy and indulgent menu that we’ve created in partnership with Bluestone Lane, we have travelers covered to help maintain their routines on the road. And let us not forget about the Bluetooth speaker in the bathroom mirror so you can keep up with your morning podcast or the salon quality Parlux hair dryer so those who need it can free up a little extra space in their luggage. We’ve looked at what’s most important to the modern traveler and inserted the little things that matter most to minimize that disruption.

Based on your personal experience, do you have any additional insider tips or advice to share when traveling for work?

Drink water on airplanes; avoid the fizzy stuff. The dry air and on-the-go [pace] with traveling take a toll on your system.

How can Hilton Honors /reward programs help to make traveling for work more convenient and seamless?

Digital key and digital check-in are a game changer, if you’re not using them, you should be. Just a couple taps on your phone and you’re all set. No more forgetting that plastic key in the room.

5 inspiring entrepreneurs share challenges they overcame as women in business

From chocolates and skincare to event management and luxury travel, these tenacious women have leveraged verizon small business digital ready to forge ahead..

travel management for small business

Mirna Hamade

Founder, Meero’s Rich Bite , Canton, Michigan

In Lebanese culture, it’s customary to give beautifully decorated chocolates on special occasions, such as graduations, weddings and births. For Mirna Hamade, who lives in Michigan but is originally from Lebanon, these unique chocolates were hard to find. So in 2020 she launched Meero’s Rich Bite, a bespoke chocolate company that imports high-quality products from her native country. “My goal in creating this business is to be part of people’s happiest moments,” she says.

Hamade faced steep obstacles to launching her business, including securing the capital necessary to import chocolate to the United States. When she lived in Lebanon, she could easily buy chocolates — Belgian chocolate with flavored fillings that give them a Lebanese twist — and decorate them for friends and family. But operating out of the U.S., Hamade discovered that getting FDA clearance and the cost of shipping was prohibitively expensive.

With her numbers savvy, Hamade has been able to make her personal savings and financial support from family members go a long way, but the challenge of raising capital remains. Most recently, she secured a microloan to help pay for a packaging rebrand.

Hamade says her experience with Verizon Small Business Digital Ready has been a game-changer. Prior to discovering the program, she felt entrepreneurship “was like swimming in darkness, trying to survive and hoping the sunlight would come up soon.”

The platform helped Hamade explore social media, digital marketing and digital tools to optimize key operations. Through the program, she also realized the importance of branding and received guidance on hiring a branding contractor. She then spent six months working on a branding strategy, which also led to redesigning her packaging.

But what Hamade most appreciates is how welcoming and encouraging the Digital Ready coaches are. “Digital Ready brought the light to me, showing me I could do it, and it wasn’t that complicated,” she says.

In early 2020, the Cossio sisters — Lucia, a chemical engineer, Maria, a finance professional, and Ana, a retired dermatologist — launched Avanza Skin, a dermatological skincare line “for skin that moves.” Avanza Skin was born of their shared love of running and the common skincare problems that accompany an athletic lifestyle, such as acne, chafing and calluses.

When the pandemic shifted the retail landscape, the sisters quickly pivoted from in-store sales to e-commerce — a move that has paid off. In a handful of years, Avanza Skin has achieved an impressive return customer rate of 41%, well above the 23% average in the beauty industry .

Still, Avanza Skin faces its share of challenges. One of those challenges has been securing funding, which is why Avanza Skin was thrilled to receive a $10,000 grant from Verizon Small Business Digital Ready .

Avanza Skin has broken through the stereotype that men don’t need skin care. Through new online marketing channels, which were identified through their work with Verizon Small Business Digital Ready, Avanza Skin now has a customer base that is 58% male, up from 42% when they started the program.

“Through the online courses, we’ve been able to implement targeted digital strategies, SEO website and blog implementation,” Lucia says. This, she adds, has led to significant growth in both social media followers and online sales. Since starting the program, their average website visits have doubled, and the number of visits that end in a purchase has grown 20%.

“We created something in which we believe, and people are seeing results,” says Lucia. “That’s very gratifying.”

Senoirae Ventura

Founder and CEO, Senoirae: Life’s Travel Designer , Dallas, Texas

The seed for Senoirae Ventura’s luxury travel and lifestyle business was planted more than two decades ago when she was a reservist in the U.S. Navy. Ventura was selected for the hospitality committee, which was responsible for welcoming a nuclear aircraft carrier home from a tour. This entailed getting security clearances for 50,000 officers and crew, Ventura says, and arranging food and entertainment for the celebration.

Today, as founder and CEO of Senoirae: Life’s Travel Designer, Senoirae Ventura creates immersive travel opportunities. Key to Ventura’s success is believing in herself. “Confidence isn’t arrogance. It’s belief in your capabilities,” she says.

As an African American and American Indian, she says, she has come up against a false perception that Black travel agents don’t have the clientele that seek elite properties for their vacations. To ensure that all of her clients will feel welcome, she always makes a point, when visiting properties, to ask how staff are being trained in relation to understanding different cultures.

Discovering the courses and 1:1 instruction available from Verizon Small Business Digital Ready, Ventura enhanced her business in many ways. She has consulted with other Digital Ready participants on future client offerings.and implemented new business management software after taking a course on it on the platform. The software has helped improve client management, providing more modern features and an overall ease of navigation.

During a 1:1 website review, a Verizon Small Business Digital Ready instructor encouraged Ventura to share more of her personal story, including her military experience. “The Verizon [Small Business] Digital Ready program has helped me speak up and say, ‘This is who I am. This is my story,” Ventura says.

Shelly Wilson

Founder, Nomobo Salon , Chicago, Illinois

For six years, Shelly Wilson had been running her business, Nomobo Salon, while also working as a color educator for a global hair care brand.

In 2020, however, two factors prompted Wilson to change up her business model: the birth of her daughter and pandemic-related changes in her industry. Stylists were more and more seeking independence as contractors, rather than being full-time employees in salons. Meanwhile, motherhood inspired Wilson to become more discerning about how she spent her time and money.

Wilson saw an opportunity: She changed her business model, shifting from employing stylists to hiring independent contractors. She began renting out chairs in her salon, effectively making her more of a landlord and less of an administrator. Wilson felt confident in making the move thanks to new learnings she acquired through Verizon Small Business Digital Ready. She now focuses her marketing efforts on attracting stylists, who bring their own customer bases. She also integrated texting tools to improve customer experience, lower overhead and give her more flexibility in client communication. Texting with clients has supported her goal of having more freedom, while also improving communication efficiency.

“This shift [in my business model] has opened up more time for me to go in and be with clients and not worry about payroll, inventory or managing the schedule,” Wilson says. It also allows her more time for other creative aspects of her work, such as doing photoshoots to highlight new trends and creating content for social media.

Verizon Small Business Digital Ready is part of Verizon’s goal to support 1 million small businesses by 2030 with the resources to thrive in the digital economy.
