Feedback is a very important moment when the collaborator has the opportunity to receive comments from their manager about possible areas for improvement and confirmation on the skills they have already acquired. At least once a year, a formal meeting is held between the manager and collaborator, after which objectives are agreed upon for the next period.

The HR Area guides and supports the feedback processes, gathering the information necessary to keep track of availability, ambitions and assessments.

For newcomers to the company, meetings are organised between the collaborator, the Manager and HR, to facilitate the initiation process. New employees are also welcomed on their first day by a “buddy” , a friendly colleague who will help them immediately develop a sense of belonging and become familiar with the new business context.

A look at what makes up a travel manager’s job description

Travel managers play a critical role in the success of a corporate travel program. But the scope of their job reaches far beyond reserving flights, making hotel reservations, and booking car rentals. Travel managers interact with many – if not all – of the stakeholders in a company to make sure the corporate travel program supports business objectives, aligns with company culture, helps retain talent by keeping travelers happy, and much, much more.

Travel managers oversee and administer corporate travel policies and are traditionally tasked with travel expense management, leading vendor and partner contracts, monitoring business travelers’ needs and identifying cost savings. Their work could also involve procurement or working with external partners to get reimbursements for cancelled trips. It takes years of experience to master all of this. Working with a travel management company (TMC), travel managers make sure your travel program and policies meet the needs of your business and travelers.

Defining and implementing an effective business travel program is no easy task. Business requirements can change quickly, and the travel program must adapt just as fast. The business travel environment can shift unexpectedly, and the travel manager must proactively put travel policies in place to speed the corporate response and safeguard against risk. Effective business travel programs are built on a foundation of:

The travel manager works with various stakeholders to build and direct that foundation.

Defining travel policies and procedures

Clearly defined travel policies and procedures help rein in costs and promote traveler wellbeing. Consistency in policy definition and enforcement are key. Because business travel maps to business objectives, there are policies and rules in place that we don’t see when we book our leisure travel.

Corporations may have preferred vendors for hotels and car rentals, for instance. Setting limits for travel, accommodation and per diems can be defined for specific regions and countries and take into account cultural differences in various parts of the world. Duty of care policies also take a front seat when it comes to determining your travel policy.

All of this allows an organization to manage costs, measure return on investment and help keep travelers safe. For instance, NASDAQ discovered the benefits of thinking through their travel policy and leading a change in policy and process that benefitted business travelers’ experiences and the bottom line.

Managing all these moving parts is the role of the travel manager. It’s also the reason that many companies work with a TMC like Egencia. Introducing Our New Assistant Travel Manager

We are excited to announce that our new Assistant Travel Manager, Helen Duley, has started at Caledonia this month! 

Helen is an MSc Environment and Development graduate from The University of Edinburgh where she wrote her Dissertation on community-based ecotourism in Southern Belize.

Not only has Helen travelled extensively in the UK, but she is also passionate about exploring new countries and cultures around the world. Having lived and worked in Spain for a year in between her degrees, Helen developed a love for the Spanish language and culture and began planning a trip further afield to South America. In the winter of 2017/18, Helen spent four months backpacking through Colombia, Ecuador, Peru, Bolivia and Chile; getting to know the vibrancy and diversity of life in Latin America.

Before joining Caledonia, Helen worked with a community food growing social enterprise in Manchester and a global mobility company in London. She is excited to share her enthusiasm and love of travel with Caledonia.

HEADING STRAIGHT OUT TO CUBA

Helen is excited to be heading out to Cuba in July to take part in our two-week Cuba Salsa Holiday in Santiago. Her trip coincides with Santiago’s vibrant Festival del Caribe, this annual music and dance festival is a joyous and colourful celebration of Caribbean culture. Each year the festival is dedicated to a guest country, this year being Uruguay, and a delegation of their top performers is welcomed to Santiago de Cuba, performing alongside top Cuban and other Caribbean artists. GETTING TO KNOW HELEN

What inspires you to travel? Getting out into the world and exploring the diverse landscapes and experiencing how life is lived in different countries.

Favourite country visited so far? I am struggling to pick one but Spain, and the region of Galicia in particular, holds a special place in my heart after living there for a year. The local food is delicious, the people are friendly and the beaches are some of the most beautiful I’ve ever visited! India with its vibrant and wonderfully chaotic character is also a favourite along with Peru for the stunning hiking opportunities in the Andes.

Most memorable moment whilst travelling? Experiencing the Salsa Festival in Cali on Christmas Day in torrential rain, hiking the Salkantay Trek to Machu Picchu arriving at sunrise on my birthday and staying with Mayan families in the Belizean rainforest!

A moment of culture shock? Arriving back in London after my first trip to India and noticing the smooth and quiet flow of traffic, the limited interactions between people on the street and the long orderly queue to get onto National Express bus!!

On holiday I… like to eat local food, speak to local people, climb mountains or go to the beach and swim in the sea. All preferably somewhere hot!

I would love to… explore the other half of South America – Argentina, Brazil, and Uruguay. And get to know more of Cuba of course!
